Contract Department Administrator Join Our Team! Are you a detail-oriented professional with experience in contract administration, real estate transactions, or residential construction? We are seeking a Contract Department Administrator to oversee and manage the contract administration process from contract execution through closing. This role serves as a critical liaison between Sales, Legal, Finance, Closing, and Division Leadership to ensure contractual compliance, operational excellence, and a seamless customer experience. What You'll Do: As the Contract Department Administrator, you will: Review and analyze residential sales contracts and related documentation for accuracy, completeness, and compliance with company policies and legal requirements. Identify contract deficiencies and coordinate corrective actions with Sales Associates, management, and other stakeholders. Manage contract approval and execution processes, ensuring timely distribution of executed contracts and addenda. Maintain and update legal documents, contract forms, HOA information, CDD documentation, and related materials. Serve as a liaison between Sales, Closing, Legal, and Finance departments regarding contract-related matters. Process contract cancellations, refunds, and documentation associated with terminated transactions. Track and process Sales Associate commissions. Maintain contract administration systems, document repositories, and operational resources. Input and maintain contract and sales information in Mark Systems. Provide training and guidance to new Sales Associates regarding contract procedures, documentation requirements, and company policies. Analyze workflow processes and recommend improvements to increase efficiency and reduce risk. Participate in cross-functional initiatives involving compliance, sales operations, legal processes, and contract administration. Support lender, buyer, and internal team requests as needed.
What We're Looking For:
  • Required Qualifications
  • Associate's Degree required.
  • Minimum of three (3) years of contract administration, real estate, closing administration, residential construction, or related experience.
  • Strong knowledge of residential purchase and sale agreements and contract documentation.
  • Exceptional organizational skills with the ability to manage multiple deadlines.
  • Excellent verbal and written communication skills.
  • Strong analytical, problem-solving, and decision-making abilities.
  • Ability to exercise discretion and maintain confidentiality when handling sensitive business information.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
Preferred Qualifications:
  • Bachelor's Degree.
  • Experience with Mark Systems or similar homebuilding software.
  • Experience within the residential homebuilding industry.
