Growing together.The Executive Assistant will support Managers with senior level administration services including answering the telephone, typing/word processing of documents, maintaining calendars and setting up meetings, making travel arrangements, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance.This is a fast-paced working environment that requires the ability to multitask with attention to detail and excellent organizational skills.You'll enjoy the flexibility to work remotely from anywhere within the U.S. as you take on some tough challenges. For all hires in the Minneapolis or Washington, D.C. area, you will be required to work in the office a minimum of four days per week.Candidates living in New York, New Jersey, or Connecticut will be prioritized as these states align with the markets this position will be supporting.Primary Responsibilities:Provide primary support to leadership with schedule, coordinate and manage meetings, expenses & travelMaintain and communicate sensitive or confidential information in accordance with internal policies and proceduresManage active calendars, resolve scheduling conflicts as they arise, prioritize ensuring effective time management for the executivesCreate, prepare, and distribute all meeting materialsMaintain charitable/community relations and promotional items budget and sponsorshipsEnsure all resources and technology are set up and working for all meetingsMake travel arrangements for leadershipHelp plan and coordinate Broker meetings and external events as neededOrganize logistics of large or offsite events, using internal resources as neededCompile and integrate information needed to complete reports and documentsPrepare or format office documentation needed for various audiencesPost relevant documentation onto relevant systems and communication boardsMaintain and distribute broker email and address mailing lists as neededUtilize Microsoft 365 software and other applicationsMonitor and oversee internal office communicationsThis position may occasionally assist in onboarding new employees depending upon the role of the hireMaintain and keep updated office and distribution listsConsult and communicate with internal and external customers to identify and provide resourcesResearch and provide needed information to respond to requests in a timely matterMay occasionally assist with reviewing and approving timecards, employee reviews and feedbackYou'll be rewarded and recognized for your performance in an environment that will challenge you and give you clear direction on what it takes to succeed in your role as well as provide development for other roles you may be interested in.Required Qualifications:High school education or equivalent experience2+ years of administrative support to leadership in a corporate settingExperience working in a fast-paced, matrix organizationExperience working independently and under pressure at times to handle a wide variety of activities and confidential matters with tact and discretionExperience handling all aspects of meeting production and organization including creation of Power Point presentations, scheduling, catering, room preparation, etc.Proficient level of all Microsoft Office including Word, Excel, Outlook, and PowerPointHigh degree of personal integrity and solid interpersonal skillsProven exceptional attention to detailProven ability to provide high quality, consistent services to the various leaders within the departmentPreferred Qualifications:Experience working within a healthcare settingExperience working for a Fortune 500 companyExperience with booking business travel following company guidelines and recommendationsExperience with AMEX TravelExperience with ConcurExperience with Smartsheet*All employees working remotely will be required to adhere to UnitedHealth Group's Telecommuter PolicyPay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements).
