Job Summary: Detail-oriented and dependable Office Assistant with experience providing administrative and customer service support in a professional office environment. Skilled in managing daily office operations, greeting customers and visitors, answering inquiries, processing paperwork and mail, maintaining office supplies, and assisting with invoicing and financial tasks. Strong organizational, communication, and multitasking skills with a commitment to accuracy, professionalism, and excellent customer service.
Responsibilities: Greet and assist customers, visitors, and team members in a professional and courteous manner. Manage authorized access to the office and facility. Respond to customer inquiries regarding products, donations, invoices, and general services. Provide administrative and clerical support to Sales, Operations, Vending, and Service teams. Process incoming and outgoing mail, maintain postage supplies, and coordinate routine mail distribution. Order and maintain office supplies and ensure adequate inventory. Perform daily maintenance and organization of office equipment and breakroom areas. Assist with invoicing, documentation, data entry, filing, and other finance-related administrative tasks. Maintain an organized, clean, and professional front office environment. Complete additional administrative duties and special projects as assigned by management.
Hours: Part Time Tuesday - Friday, 11:00am to 6:00pm Hours may very depending on business needs
Requirements: Minimum of 2 years of administrative or office support experience preferred. High school diploma or equivalent required; college experience preferred. Proficient in operating a PC and standard office software; ability to learn company-specific software. Strong written and verbal communication skills. Ability to accurately follow written, verbal, diagram, and schedule-based instructions. Strong organizational and time-management skills with excellent attention to detail. Ability to multitask and manage competing priorities in a fast-paced office environment. Ability to work effectively as part of a team and contribute to a positive team culture. Strong customer service and interpersonal skills. Basic computer skills, including experience with Microsoft Office or similar office applications. Ability to maintain accurate records, files, schedules, and other office documentation. Ability to communicate professionally with coworkers, customers, vendors, and other business contacts. Commitment to maintaining a safe, professional, and team-oriented work environment. Ability to handle confidential information with professionalism and discretion. Must be dependable, punctual, flexible, and willing to assist with additional office duties as needed.
