About the role

Executive Assistant / Bookkeeper We are partnering with an established commercial real estate company in Dallas to find an Executive Assistant / Bookkeeper who can become a trusted partner to the leadership team. This is a unique opportunity for someone who is equally comfortable working in QuickBooks and supporting the day-to-day needs of senior executives and partners. The role combines bookkeeping, executive support, office administration, and general operational responsibilities. The company is looking for someone who can take ownership of the details that keep the business moving. You'll need to be comfortable managing financial responsibilities while also booking travel, preparing documents, helping team members, greeting clients, and jumping in wherever you're needed. This is not a heavy accounting role, but strong QuickBooks and bookkeeping skills are important. The company has a straightforward accounting operation today, with the opportunity for the financial responsibilities to grow as the business continues to expand. Bookkeeping & Financial Responsibilities Manage day-to-day bookkeeping in QuickBooksHandle accounts payable and accounts receivable Process and track approximately 20 invoices per month Manage commission accounting and related records Review transactions for accuracy and maintain organized financial records Assist with reconciliations and resolve discrepancies Coordinate with outside accounting professionals when needed Maintain financial documentation and ensure records stay current Executive & Partner Support Provide high-level administrative support to company leadership and partners Manage travel arrangements, airfare, calendars, and scheduling Coordinate meetings and assist with meeting preparation Prepare, organize, and maintain important documents Assist with legal documents, contracts, and other confidential materials Track follow-up items and help ensure priorities are completed Support partners with a variety of time-sensitive administrative needs Office & Team Support Serve as a welcoming presence for clients and visitors Assist team members with general administrative needs and documentation Order and maintain office and kitchen supplies Help coordinate team events and office activities Assist with research and special projects Take ownership of miscellaneous needs that arise throughout the day
What We're Looking For:
  • Strong, hands-on experience with QuickBooksSolid understanding of bookkeeping, AP, AR, and general financial processes
  • Previous experience supporting executives, business owners, partners, or senior leadership
  • Excellent organizational skills and attention to detail
  • Strong follow-up skills and the ability to manage multiple priorities
  • Professional communication skills and a polished presence
  • Comfortable handling confidential and sensitive information
  • Highly proactiveyou see what needs to be done and take care of itAble to work independently without needing constant direction
  • Comfortable in a fast-moving environment where priorities can change
  • Strong judgment and problem-solving skills
