About the role
We are recruiting on behalf of a highly regarded global investment firm seeking an experienced and highly organized Executive Assistant to support a Managing Director and a team of investment professionals. This role is responsible for providing thoughtful administrative support while helping ensure the smooth operation of the office and a professional, functional work environment.
Key Responsibilities:
Calendar Management: Manage calendars for the Managing Director and investment professionals, including schedules spanning multiple time zones. Meeting Coordination: Coordinate meetings with internal and external parties and ensure all logistics are handled seamlessly. Meeting Preparation: Prepare meeting facilities and ensure IT connectivity and other requirements are in place. Guest Support: Welcome and assist arriving guests with a professional and polished approach. Travel Management: Coordinate flights, accommodations, expense filing, and travel logistics for offsite events. International Coordination: Collaborate with overseas offices on onboarding and offboarding setup for new hires and departing employees. Office Operations: Manage office supply and equipment procurement and monitor inventory to help maintain a conducive and functional work environment.
What We Are Looking For
Experience:
5+ years of experience in a similar role. Industry Background: Experience in financial or professional services is advantageous. Organization: Demonstrated planning and organizational skills with the ability to multitask and support multiple professionals. Global Coordination: Proficient in managing calendars across multiple time zones. Resourcefulness: Hands-on, resourceful, and able to work independently while collaborating effectively with a team. Work Ethic: Highly self-motivated with a strong work ethic and ability to thrive in a fast-paced environment. Attention to Detail: Meticulous, diligent, and highly detail-oriented. Communication: Strong written and verbal communication skills. Teamwork: Collaborative team player who works effectively within a broader team. Location & Compensation

Compensation:
$130,000 base salary + 25% bonus + overtime This is an excellent opportunity for an experienced Executive Assistant to join a sophisticated investment environment and provide high-level support to a Managing Director and investment professionals while contributing to the smooth operation of the office.
