About the role
Luxury Real Estate Team needs someone who can move between two very different registers in the same day: in the field checking on properties, managing vendors, coordinating schedules and ensuring marketability with database management, follow-up scheduling, and scheduling airtight. No real estate transaction experience is required. What matters more is sharp attention to detail, a real eye presentation, and enough polish to understand Luxury Real Estate Team's standards.
Core Responsibilities:
- Listings & Property Operations
- Walk listed properties on a regular cadence to check condition, signage, lockboxes, and presentation
- Coordinate with photographers, stagers, and other listing-prep vendors on-site
- Manage cleaners and other recurring service vendors for active listings
- Track and report on all active listings, prospects, buyers, and contracts (active sales pipeline management)
- Own calendar and scheduling across showings, inspections, appraisals, and client meetings, including reminders, cancellations, and reschedules, so there is no back-and-forth
- Marketing fulfillment includes social publishing, just-listed and just-sold, nurture email, listing launch materials
- Track and manage expenses and budgets across active listings
- Report to Luxury Real Estate Team monthlyCRM Management & Communication
- Build, own, and maintain the CRM as the single source of truth for clients and contacts
- Capture new contacts met in the field the same day, from open houses, events, sign calls, and referrals, entered and tagged by source and stage so no one is lost
- Keep records clean, current, and properly segmented: active buyers, active sellers, past clients, sphere, open-house and event leads, nurture
- Lead follow-up and qualification with fast speed-to-lead, routing only hot, qualified prospects to Luxury Real Estate TeamRun defined follow-up sequences on new open-house and event leads: immediate touch, then a set nurture cadence until they convert or opt out
- Build and maintain communication cadence with past, current, and prospective clients
- Provide proactive client status updates through the transaction, so Luxury Real Estate Team are not fielding "where are we" calls and texts all day
- Manage database and sphere outreach: birthdays, anniversaries, check-ins, referral campaigns
- Log every client interaction and showing note, and request reviews and referrals at closing milestones
