The Operations Coordinator is the first point of contact for our clients and a central support to our office team. This is a growth position. As we prepare for disciplined expansion over the next 3-5 years, the person in this role will start by owning our client communications and booking support, and grow into broader operational responsibility as our systems and volume expand. About UsWe specialize in high-detail housekeeping and post-construction cleaning for interior designers, architects, and luxury property managers throughout New York City. We have very little turnover and seek employees with similar priorities. Position OverviewThe Operations Coordinator is the front door to New York's Little Elves. This position owns how the office operates day to day, including: first-line phone coverage, client email correspondence, website inquiries that bring in new work, and supports the booking process that turns those inquiries into scheduled jobs. This is not a receptionist role. Phones and inbox are where the job begins, not where it ends. The right person will learn how the whole operation runs, take on projects that improve it, and grow with a company that is actively expanding. The ideal candidate is proactive, detail oriented and productive under pressure. Successful candidates thrive in a fast-pasted environment where priorities shift quickly, are comfortable being friendly and can remain professional under pressure. Key ResponsibilitiesClient Communication●     Answer incoming phone calls as the first point of contact●     Respond to client email correspondence with the care and detail our clients expect●     Manage inquiries submitted through our website●     Document client requests, reschedules, and job changesBooking Support●     Support the booking process from first inquiry through confirmed job●     Gather and verify the details required to quote and schedule work accurately●     Follow up on outstanding inquiries so no request goes unansweredOperational Support●     Work in our scheduling system daily and become the team's most fluent user of it●     Support the supply and inventory function alongside our operations team●     Maintain accurate client records across our systemsGrowth and Improvement●     Take on defined projects that improve how the office runs●     Identify friction in day-to-day processes and bring solutions forward●     Note: Payroll, crew scheduling, and crew assignment remain with our General Manager and President. This role supports the operation; it does not run it.* Qualifications●     Experience in an administrative, coordination, client service, or office operations role●     Writes clearly and warmly. Our clients receive detailed, personal responses, and this person becomes the voice behind them●     Stays organized through constant interruption. Phones ring, emails arrive, and priorities shift within the same hour●     Curious about the whole operation rather than only their own corner of it●     Comfortable learning new software.
