Summary of Position: The Accounting Specialist/Bookkeeper supports the Accounting Manager in performing bookkeeping, construction accounting, purchasing, inventory control, and general administrative functions. This position works closely with staff, participating families, vendors, suppliers, subcontractors, financial institutions, and members of the public. What you’ll doAccounting and Bookkeeping Maintain accurate financial records, accounts, and ledgers. Enter bills, invoices, purchase orders, deposits, and other transactions. Process accounts payable and assist with regular check runs. Verify that expenditures are assigned to the correct accounts and cost categories. Reconcile bank accounts and investigate discrepancies. Review monthly vendor statements and resolve outstanding items. Assist with budget preparation and the preparation of financial reports, as requested. Receive and properly record incoming funds. Coordinate check signatures with the Board Treasurer. Make weekly bank deposits and complete post office and other business-related errands.
Construction and Family Account Administration: Maintain construction accounting records for families participating in the Mutual Self-Help Housing program. Prepare, request, and maintain monthly construction-account draw documentation. Complete and post monthly bank reconciliations for family construction accounts. Review and audit family construction accounts monthly. Keep the Director of Construction informed of family construction-account balances. Review invoices for delivered construction materials and verify quantities, specifications, quality, and pricing. Coordinate approved invoice corrections or pricing adjustments. Maintain records of subcontractor qualifications and documentation, including W-9 forms, licenses, and certificates of insurance. Maintain an accurate inventory of tools and equipment assigned to family tool trailers.
Administrative Support: Maintain adequate office and operating supplies. Record and distribute staff meeting notes or minutes. Provide notary services, as needed. Assist with incoming telephone calls and general office coverage. Assist the Housing Specialist with open houses, groundbreakings, and other organizational events. Perform other duties as assigned to support SHH’s daily operations and mission.
Qualifications
Education and Experience: High school diploma or equivalent. Completion of business, bookkeeping, accounting, or related coursework is preferred. At least one year of related bookkeeping, accounting, clerical, data-entry, banking, or lending experience; two years is preferred. Experience with QuickBooks Pro or comparable accounting software is beneficial. A combination of relevant education and experience may be considered. Valid driver’s license and ability to travel by car for SHH business, including occasional drives of up to four hours each way and attendance at meetings or events outside the office.
Knowledge, Skills, and Abilities: Working knowledge of bookkeeping and basic accounting practices. Proficiency with Microsoft Word, Excel, Adobe Acrobat, Google Workspace, QuickBooks, and other office or accounting applications. Strong organizational skills and a systematic, detail-oriented approach to work. Ability to maintain accurate records and meet recurring deadlines. Strong written and verbal communication skills. Ability to interact professionally with people from diverse backgrounds. Ability to work independently, manage multiple priorities, and exercise sound judgment. High level of motivation, reliability, productivity, and interpersonal effectiveness. Ability to maintain confidentiality when working with financial and personal information. Ability to operate standard office equipment, including copiers, scanners, calculators, and multiline telephone systems. Typing speed of approximately 60 words per minute. Spanish-language skills are a plus. Background in a a construction environment is a plus.
Compensation and Benefits: $25.00 to $31.25 per hour ($52,000 – $65,000), depending on directly related experience, qualifications and demonstrated skills.
