Sales Assistant – Beauty & Fragrance Packaging
Location: New York, NY – Hybrid, 3 days per week in office
Reports to: VP Sales – U.S. Perfumery
Career Progression: Opportunity for progression to Junior Sales Manager based on performance and development
Salary Range: $75,000–$90,000 annually, commensurate with experience
Position Summary: Bormioli Luigi is a global manufacturer of premium glass packaging for the fragrance and beauty industry, partnering with leading beauty and fragrance brands on the development and production of primary packaging. We are seeking a Sales Assistant with relevant experience in the beauty, fragrance, cosmetics or beauty packaging industry to support the continued growth and management of our U.S. Perfumery business. Working closely with the VP Sales, this position will support key customer accounts and serve as a day-to-day contact for customer projects and follow-up. The role will coordinate activities across Sales, Operations, Technical, Quality and international manufacturing teams to help ensure customer projects progress accurately and on schedule. The position combines customer support, project coordination and commercial administration, including responsibility for customer portals, specifications, artwork, samples, documentation and project timelines.
Key Responsibilities:
  • Customer & Project Support·
  • Support the VP Sales with the day-to-day management of key U.S. fragrance and beauty customers.·
  • Serve as a day-to-day customer contact for project requests, development updates and routine follow-up.·
  • Participate in customer calls, meetings and presentations alongside the VP Sales.·
  • Coordinate development projects from initial customer request through sampling, approval and commercialization.·
  • Maintain project and development trackers and ensure customer and internal action items are completed on time.·
  • Coordinate with Sales, Operations, Technical, Quality and international manufacturing teams to support customer requirements.·
  • Track project milestones, outstanding customer decisions and approvals and proactively follow up to keep projects moving.·
  • Prepare meeting notes, action lists and project updates as needed.
  • Customer Portals, Specifications & Documentation·
  • Own the entry and maintenance of standard customer forms and information within customer portals.·
  • Complete and maintain customer product specifications and required project documentation.·
  • Coordinate with internal teams to collect technical and operational information required for customer submissions.·
  • Monitor customer portal requests and deadlines and ensure submissions are completed accurately and on time.·
  • Maintain organized and accurate records of customer specifications, approvals and documentation.·
  • Ensure current information and documentation are communicated to the appropriate internal teams.
  • Artwork & Sample Management·
  • Own day-to-day artwork management and coordination, including receipt, organization and distribution of customer artwork files.·
  • Coordinate artwork releases between customers, internal teams, manufacturing facilities and decoration partners.·
  • Track artwork revisions and approvals and maintain control of final released files.·
  • Ensure the correct and most current artwork is communicated for development and production.·
  • Coordinate color standards, decoration references and other customer-provided materials.·
  • Manage sample requests, submissions, tracking and customer approvals.·
  • Maintain organized records of approved artwork, specifications and samples.
  • Commercial & Sales Support·
  • Support the preparation of RFQs, quotations, pricing files and commercial proposals under the direction of the VP Sales.·
  • Assist with customer presentations, business reviews and new-product proposals.·
  • Maintain opportunity and development pipelines as directed by the VP Sales.·
  • Provide project coordination and follow-up for commercial opportunities identified by the VP Sales.·
  • Develop knowledge of pricing structures, manufacturing capabilities and decoration technologies.·
  • Support preparation and coordination for customer visits, trade shows and industry events.·
  • Provide customer-facing continuity during VP Sales travel or absence, escalating major commercial decisions as appropriate.
Qualifications:
  • Bachelor's degree preferred.· Approximately 2–5 years of relevant experience within beauty, fragrance, cosmetics, beauty packaging, luxury packaging or a related packaging industry.· Candidates may have experience working for a beauty/fragrance brand or a packaging supplier serving the beauty industry.· Experience in sales support, account coordination, packaging development, product development, project management or another relevant customer-facing role.· Familiarity with beauty packaging development, specifications, artwork management, customer portals, samples and commercialization processes strongly preferred.· Strong interest in developing a career in sales and account management.· Professional and confident when communicating directly with customers.· Excellent organizational skills and attention to detail.· Strong project-management and follow-through capabilities.· Ability to manage multiple projects and deadlines simultaneously.· Strong written and verbal communication skills.· Proficiency in Microsoft Excel, PowerPoint and standard business applications.· Comfortable learning and working within customer portals and specification-management systems.· Ability to collaborate effectively with U.S. and international teams.· Proactive, resourceful and comfortable working independently.· Ability to work from the New York office 3 days per week.· Ability to travel periodically for customer meetings, trade shows and other business needs. Career Development The Sales Assistant will work closely with the VP Sales to develop a strong understanding of Bormioli Luigi's customers, products, manufacturing capabilities and commercial processes. As experience and knowledge develop, the individual may take on increasing customer and commercial responsibilities, with the opportunity for progression to Junior Sales Manager based on performance and development.
