Executive Operations Coordinator – Business Development Payrate: $24.39/hrW2 Contract 1 year Onsite, San Diego, CA 92130 We are seeking a highly organized and proactive Executive Operations Coordinator to support senior leaders across Business Development, Alliance Management, and Program Management, with additional support for the Chief Business Officer (CBO) as needed. This role will coordinate complex calendars, executive meetings, travel, strategic partner engagements, and team operations. The ideal candidate is detail-oriented, comfortable working with senior leadership, and able to anticipate needs and manage changing priorities in a fast-paced environment.
Key Responsibilities: Manage complex calendars and coordinate high-priority internal and external meetings. Schedule meetings involving senior leaders, cross-functional teams, and strategic partners. Anticipate scheduling conflicts and proactively resolve issues. Coordinate meeting logistics, materials, virtual links, rooms, and attendee communications. Track action items, deadlines, and follow-ups for leadership activities. Maintain organized meeting materials and documentation in SharePoint. Coordinate domestic and international travel for the CBO and leadership team, including detailed itineraries and expense reporting. Support executive meetings, off-sites, workshops, partner engagements, and business dinners. Coordinate catering, AV, visitor access, meeting rooms, and other event logistics. Partner closely with executive assistants, senior leaders, and cross-functional stakeholders.
Qualifications: Experience supporting executives or senior leadership teams. Strong experience with complex calendar and meeting management. Experience coordinating domestic and international travel. Exceptional organization, attention to detail, and follow-through. Ability to manage multiple priorities and rapidly changing schedules. Strong communication and stakeholder management skills. Proactive problem-solving skills and ability to work independently. High level of professionalism, discretion, and confidentiality. Comfortable working in a fast-paced, senior leadership environment.
