About the role
A growing enterprise SaaS company is hiring a highly organized, proactive Executive Assistant to work closely with its Founder & CEO and support day-to-day operations in its New York office. At its core, this role exists to make sure the CEO's time, attention, commitments, and priorities are managed exceptionally well. You'll help organize a constantly changing calendar, stay ahead of follow-ups and deadlines, coordinate meetings and travel, manage incoming requests, and make sure important commitments don't get lost in the pace of the business. What You'll Own Executive & Calendar Management Own and actively manage the CEO's calendar across internal meetings, customer conversations, external commitments, travel, events, and changing priorities Anticipate scheduling conflicts and protect time for what matters most Coordinate meetings across internal teams, customers, partners, and vendors Keep the calendar accurate and organized as priorities shift Priorities, Follow-Through & Executive Organization Turn a high volume of conversations, ideas, and requests into clear next steps Track deadlines, outstanding decisions, and items requiring the CEO's attention Prepare materials, context, and agendas for important meetings Help distinguish what needs the CEO's involvement from what can be delegated Travel, Meetings & Logistics Coordinate domestic and occasional international travel: flights, hotels, ground transportation, itineraries, last-minute changes Coordinate logistics for leadership meetings, customer meetings, and company events Support expense management and recurring executive administration Office & Day-to-Day Operations Help ensure the NYC office runs smoothly and the team has what it needs Manage supplies, deliveries, vendors, and meeting logistics Handle errands, purchasing, and other time-sensitive logistical needs Processes & Special Projects Identify disorganized or overly manual recurring work and build a better system Build and maintain trackers, checklists, and documentation Take loosely defined assignments and drive them to completion What They're Looking For 4+ years in executive support, operations, project coordination, office management, or a similarly organized roleMUST HAVE - Direct experience supporting a founder, CEO, or senior executive Exceptional organization, attention to detail, and follow-through Strong judgment about urgency, priorities, confidentiality, and escalation Comfortable with a leader whose schedule and priorities change quickly Excellent written and verbal communication skills Resourceful and able to figure things out independently Comfortable across Google Workspace, Slack, project management systems, CRM platforms, and other SaaS tools High discretion with confidential company, customer, and personnel information You'll thrive here if you think several steps ahead, love creating order out of a lot of moving pieces, take ownership without being asked twice, and can move from prepping a board-level meeting to solving an office logistics issue without blinking.
