Job Summary and Essential Job Duties The Customer Service Representative helps customers know what to expect by providing timely, accurate information about existing orders. This role works across Sales, Production Planning and Capacity (PPC), production teams, and customers to track order progress, confirm information, and communicate status updates for orders not assigned to a Program or Project Manager. Success requires knowing how to find and verify reliable information, when to communicate proactively, and when to involve the appropriate team rather than make an unverified commitment or decision outside the role's responsibility. The Sales Customer Service Representative will: Track customer orders from release through shipment using applicable systems. Provide proactive and responsive customer updates on order status, expected completion or shipment dates, and tracking information. Prepare and maintain customer open-order reports as needed. Collaborate with internal teams to confirm accurate production status. Follow customer questions through resolution and involve the appropriate team when decisions or commitments fall outside the role's responsibility. Maintain accurate records of customer communications and order status information. Protect confidential information and adapt to changing priorities while maintaining accuracy, responsiveness, and professional communication.
Education & Experience: Requirements: Experience in customer service, administrative support, order coordination, sales support, or a similar customer-facing role. Experience working in a manufacturing, technical, business-to-business, or other environment involving order tracking. Experience using an ERP, CRM, order-management, database, or similar business system preferred.
Minimum Requirements: Ability to work independently on routine responsibilities while collaborating effectively with Sales, PPC, and other teams. Ability to recognize when proactive customer communication is needed and follow through appropriately. Ability to communicate clearly, adjust to the situation, and remain professional and constructive during challenging interactions. Ability to handle sensitive customer and business information appropriately. Strong attention to detail, verifying information before communicating it. Ability to organize multiple requests and adjust priorities as customer and business needs change. Ability to learn ERP systems, order workflows, terminology, and other business systems through instruction and practice. Strong digital literacy skills, including proficiency with Microsoft Outlook, Teams, Excel, and other standard Office applications.
Compensation and Benefits: Optimax Systems offers highly competitive salary of $45,760.00 to $54,080.00, a comprehensive benefits package and a unique work environment.
