If you're looking for a stable, rewarding career in a down-to-earth environment where hard work is balanced with genuine care for each other and respect for life outside the office, apply today!Location: Bloomfield NMRemote Status: OnsiteFLSA Status: Non-Exempt, HourlySchedule: 7:00 AM-4:00 PM, 1 hour lunch breakBenefits (eligible the first of the month after your start date): Health (single high deductible health plan is 100% paid by company), Dental, and Vision Insurance; Life and Disability Insurance; 401k with company match, immediate eligibility; Paid vacation, sick, and holidays; All positions are eligible for bonusesJob SummaryProvide administrative support to the assigned facility, including processing chemical delivery documentation, data entry, and general office support.Essential Duties:Monitor assigned email inbox and respond to or route inquiries as neededPerform three-way match to verify delivered products against BOLs; enter chemical inventory data and process related shipping documentationCreate Sales Orders in the company ERP and generate monthly delivery sheets for chemical delivery drivers according to company processesMaintain and update data in MS Excel workbooks, along with electronic and paper filing systems for the Facilities divisionCommunicate with chemical delivery drivers, facilities staff, and Account Management to research discrepancies and coordinate delivery route changesWork closely with Accounts Receivable staff and ensure compliance with proper accounting methods, approval processes, internal controls, and company proceduresOrganize, file, copy, and maintain billing documents, chemical labels & markings, and Safety Data Sheets (SDSs)Greet clients and visitors in a professional manner; maintain a visitor check-in log to support workplace safety and security requirementsAnswer, screen, and direct incoming phone calls, if applicableCreate and edit documents electronically; perform general data entry, filing, photocopying, faxing, scanning, and mailingProcess and distribute incoming office mail and packages; make trips to the post office as neededOrder, receive, and stock office and paper products, monitor office supply inventory levels, and order/pick up weekly office groceries and event food as neededMaintain break rooms, conference rooms, restrooms, and common areas, including cleaning, organizing, and light housekeepingSchedule maintenance and manage employee check-in/check-out of the facility's community vehicle, if applicableOpen and close the office in accordance with established proceduresSupport ad hoc projects as a positive team contributorWork well independently and as a teamProvide excellent customer serviceOther duties as assignedQualificationsEducation/Experience: High school diploma or GED required. 1+ years of office experience and strong knowledge of MS Excel preferred.Driving Requirements: Valid driver's license required. May run errands, go to the post office, and pick up office supplies.Physical Requirements Lift, push, pull, and carry up to 50 pounds chest high. Must be able to reach, push, pull, and grasp with arms and hands. Will require daily standing, crouching and/or kneeling, sitting, climbing, and walking, although the position is mostly sedentary. Repetitive motion of the wrists, hands, and/or fingers. Must be able to talk, hear, and see. Must be able to assess accuracy, neatness, and thoroughness of work.Work Environment Indoor shop/office setting, with laboratory onsite. Includes potential exposure to chemicals, dust, odors, fumes, oil, and gases. Noise level is typically low to moderate.Communication Skills Must be proficient in reading, writing, speaking, and understanding English. Excellent verbal and written communication skills as well as providing excellent customer service. Proficiency in technical writing and communications. Understand all audiences and develop appropriate communication solutions. Skilled at cultivating and managing relationships.Cognitive Skills This position requires strong organizational and time-management skills to handle frequent interruptions, multi-task, and prioritize competing responsibilities throughout the day. Close attention to detail is essential, particularly when entering chemical inventory data, processing shipping documentation, and maintaining accurate facility files. The role also calls for sound judgment and basic problem-solving ability to work through routine issues independently, with minimal supervision once trained.Computer Skills Efficiently navigate a web browser, mobile applications, electronic timesheets, and Microsoft Office 365 Suite (Excel, Outlook, Teams, Word, SharePoint, PowerPoint, OneNote, etc.). Experience in creating and updating spreadsheets with attention to detail. Experience with Microsoft Great Plains and/or Business Central preferred.Work Ethic Be trustworthy, dependable, self-motivated, respectful, and truthful with a commitment to safety and excellent customer service.
