Core responsibilities include but are not limited to coordinating travel, preparing itineraries and meeting documents, filing expense reports, managing document workflows for signature, and supporting special events and programs. This role requires someone with strong organizational skills, excellent time management, and the ability to handle multiple tasks simultaneously with strong communication across all stakeholders.What You'll DoCoordinate administrative tasks and workflow within the officeCoordinate domestic and international travel arrangements, including flights, accommodations, and itinerariesPrepare, review, and submit detailed expense reports in a timely manner for members of the executive leadership teamManage the Signature Requests email box; print, route, and collect wet signatures on legal and business-critical documentsOrganize and maintain both electronic and paper filing systemsPerform notary duties as needed and requestedSupport scheduling of meetings, appointments, and events, including coordination across multiple stakeholders and time zonesProcessing and directing mail and incoming packages or deliveriesPrepare meeting materials and agendas as neededPlace orders for baby gifts, funeral arrangements, special team recognition, etc.Be a back up to the facilities team to coordinate and manage onsite fun events, such as happy hours, holiday events, showers, retirement parties, etcMaintain a high degree of confidentiality and professionalism at all timesVarious other duties as assignedQualifications25 years of experience in an administrative or office support roleProficiency with Microsoft Office (Outlook, Excel, Word, and Powerpoint)Experience with travel booking platform and expense reporting systemsComfortable handling sensitive legal documents and maintaining confidentialityStrong attention to detail and a proactive, solution-oriented mindsetExcellent communication and interpersonal skillsCompensation: $22/hr - $28/hrAt Fortra, we're breaking the attack chain.
