About the role
Customer Affairs Representative
The Customer Affairs Representative is responsible for supporting customers, distributors, internal departments, and sales teams by managing inquiries, resolving issues, maintaining accurate records, and ensuring exceptional customer service. This position serves as a key communication link between customers and internal teams, including sales, logistics, production, and operations.
The ideal candidate will have strong communication skills, excellent attention to detail, and experience working in customer service, order management, administrative support, or a manufacturing environment.
Job Responsibilities
Customer Support & Communication:
Serve as the primary point of contact for customer inquiries and requests.
Respond professionally to customer questions regarding orders, shipments, products, and account information.
Research and resolve customer concerns in a timely manner.
Communicate updates regarding order status, delivery timelines, and product availability.
Maintain positive relationships with customers, distributors, and internal partners.
Order Management & Administrative Support:
Process and maintain customer orders accurately.
Enter and update customer information within company systems.
Review orders for accuracy, completeness, and compliance with company requirements.
Coordinate with shipping, logistics, and production teams to ensure customer expectations are met.
Monitor order status and communicate changes or delays.
Documentation & Data Management:
Maintain accurate customer records and documentation.
Prepare reports related to customer activity, orders, and service requests.
Track customer issues and resolutions.
Ensure all documentation meets company standards.
Cross-Functional Collaboration:
Partner with Sales, Supply Chain, Warehouse, and Operations teams.
Assist with resolving order discrepancies and delivery concerns.
Support continuous improvement initiatives.
Provide feedback regarding customer trends and recurring issues.
Quality & Compliance:
Follow company policies, procedures, and regulatory requirements.
Maintain confidentiality of customer and company information.
Ensure accuracy in all customer communications and records.
Education Requirements
Preferred
Associate degree in Business Administration, Communications, Supply Chain, Marketing, or related field.
Acceptable Equivalent
High school diploma or GED with relevant customer service, administrative, manufacturing, or logistics experience.
