About the role

We are looking for a seasoned, dependable office professional for our busy construction office to provide administrative and executive support. We’re an established, family-owned company with a great team. You’ll be the eyes and ears—anticipating needs, keeping track of details, and helping to keep the office running smoothly. You’ll screen calls, handle routine requests independently, and use good judgment to recognize what needs attention. You’re experienced, don’t get flustered easily, and can be firm while remaining professional and courteous. You manage competing priorities and follow through without constant direction. You learn quickly, welcome new projects and assignments, and are happy to take on new responsibilities. We are looking for someone who notices when supplies are running low and orders them without being asked, follows up on outstanding paperwork, and jumps in wherever needed—even if it’s as simple as making copies, refilling the coffee, or watering the plants.
Responsibilities include: Supporting company leadership, project managers, and the entire team. Screening calls, taking accurate messages, and handling or routing requests. Preparing correspondence, scanning, copying, filing, and organizing documents. Assisting with QuickBooks, data entry, and light bookkeeping. Ordering supplies and keeping the office stocked and organized. Taking initiative and seeing tasks through to completion. Strong organizational skills, discretion, attention to detail, and a pleasant demeanor are essential. QuickBooks experience and comfort with Microsoft Office are a must.
