About the role

Job Description: Office Manager needed for a small, very successful commercial real estate investment company in the 80903 area. Principal has been in business for over 40 years in Colorado Springs. Must have experience in an office environment and proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Adobe. Must be able to transcribe. Real estate license a plus. Must have a 2-year or 4-year degree. Paralegal a plus. Qualities we are looking for: - Dependable & Punctual - Fast learner - Honest - Detail-oriented - Highly organized - Self-Starter - Ability to work independently - Ability to multi-task and easily switch gears - Minimum typing speed of 70 wpm (may be asked to take a typing test) - Exceptional grammar skills - Professional telephone etiquette - Notary license or willingness to get one Your job responsibilities will include, but are not limited to: - Transcribing dictation into emails, letters, reports, memoranda, etc. - Drafting purchase agreements, leases, releases, & other commercial contracts/legal documents - Track all incoming and outgoing commissions and firm annual production - Manage all accounts payable and accounts receivable - Work with accountants and bank to assist with finances and payroll - Online research including property records, business filings, background research, etc. - Manage and maintain client database - Manage and maintain firm website with updates/revisions using third-party vendor - Marketing efforts including property signage, brochures, newsletters, online updates, email flashes, mailers, etc. - Manage office supplies and all vendors - Train and onboard any new employees - Manage owner’s personal finances and travel - Assist owner with personal errands, transactions, and other tasks as needed - Some work for owner’s other businesses - Other various administrative duties The software/online resources you will work with include, but are not limited do: - Microsoft Office (Word, Excel, Outlook, Teams) - ACT! Pro Database - CTM eContracts - Adobe Pro (editing PDFs of brochures, newsletters, etc.) - Quick Books (data input) - CoStar (property research & reports) - El Paso County Tax Assessor (property research) - Colorado Secretary of State (business research) - Dropbox - Mail Chimp (marketing emails) - Zoom Position is permanent. Schedule will likely be 20-25 hours per week, Monday through Friday, 9:00 AM-5:00 PM (to be determined). Must be flexible to stay later some days if needed. Must have your own mode of transportation as you will be asked to run errands from time to time. Opportunity for growth within a unique, unconventional firm.
