We provide wealth management services and separate account management to individual and institutional investors. We pride ourselves on providing exemplary service to our clients.We are seeking a friendly, polished, organized, and professional Office Administrator to serve as the first point of contact for our clients, guests, and team members while also supporting the day-to-day operations of the office. This role is ideal for someone who enjoys creating a welcoming office environment, staying highly organized, supporting executives and internal team members, and helping ensure clients receive an exceptional level of service.Position ResponsibilitiesFront Office & Client ExperienceGreet clients, visitors, and vendors in a warm, professional, and service-oriented manner.Answer phone calls, emails, and general inquiries promptly and professionally.Manage the common areas to ensure the office is clean, organized, and presentable.Coordinate guests’, clients’, and visitors’ needs while putting the client’s experience first.Maintain accurate records of service requests, client needs, and follow-up items.Administrative Schedule meetings, conference rooms, client appointments, travel, and company activities.Handle calls and communications from both internal and external sources.Prepare correspondence, including letters, memos, forms, emails, policies, procedures, and other documents.Prepare meeting materials, client packets, forms, presentations, and other business documents.Support internal team members with administrative projects and daily office tasks.Handle confidential information with discretion, professionalism, and sound judgment.Maintain CRM contact information, department activity, marketing activity, and records of business development or client engagement efforts.Office OperationsAssist with mail, deliveries, shipping, office supply inventory, and vendor coordination.Maintain client and office records with accuracy and confidentiality.Support office organization, filing systems, databases, and internal processes.Help create a positive, professional, and service-focused office experience for clients and employees.QualificationsPrior experience in office coordination, reception, executive assistance, administrative support, client service, marketing support, or a professional office environment preferred.Experience in financial services, wealth management, investment management, or another professional services environment is helpful.Bachelor’s degree or equivalent work experience preferred.Strong communication and interpersonal skills.Exceptional written and verbal communication skills, including strong grammar, spelling, and proofreading abilities.Professional, polished, client-service oriented, and comfortable interacting with individuals at all levels inside and outside the company.Highly organized with strong attention to detail and the ability to establish priorities and meet deadlines.Ability to manage multiple competing tasks in a fast-paced environment.Strong time management skills and ability to follow through to completion.High level of discretion, poise, tact, and diplomacy when handling sensitive and confidential information.Proficient with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.Experience with CRM systems, contact databases, presentation software, website platforms, LinkedIn, Canva, or similar marketing/design tools is a plus.Reliable, proactive, flexible, and willing to help wherever needed.CompensationSalary Range- $50,000-$65,000 (based on hours and experience)Annual Performance Bonus- Up to 15% of SalaryBenefits: Paid Holidays and PTOProfessional Development and Education CreditHealth Insurance: -Health Insurance -Dental Insurance -Vision Insurance -Wakefield pays 80% of the monthly premium for all individual, spouse, and family coverage for Health, Dental, and Vision.Other Insurance: -Long-Term Disability: You are covered for 60% of your compensation. -Wakefield pays 100% Premiums -Short-Term Disability: You are covered for 60% of your compensation. -Wakefield pays 100% Premiums -Group Life Insurance: Policy is for $50,000 of life insurance -Wakefield Pays 100% of the PremiumsHealth Savings Account: -Eligible if you are enrolled in the Wakefield provided health insurance plan. -A Health Savings Account is opened for you and Wakefield contributes: *$4,400 annually for individual coverage *$8,750 annually for family coverage -Contributions made by Wakefield are paid monthly. Employee is eligible to contribute additional, tax-deductible amounts on their own up to the IRS limits401(k) Plan: Eligible after one year of employment -Wakefield makes a safe harbor contribution of 3% of your compensation up to the IRS limitsProfit Sharing Plan (Retirement Plan, this is in addition to the cash compensation above): Eligible after one year of employment -Wakefield makes 100% of the contributions on a discretionary basis annuallyCash Balance Retirement Plan: Eligible after one year of employment -Wakefield makes 100% of contributions on an annual basis
