ABOUT BUFFALO ROAM OUTFITTERSBuffalo Roam Outfitters develops engineered workwear and apparel for businesses, retailers, andeveryday customers. We are looking for an organized, dependable person who can support our President, serve our customers, and keep daily administrative tasks moving.
POSITION OVERVIEW:
This hands-on role combines administrative assistance, customer service, basic bookkeeping, and office coordination. You will work directly with the President to manage email, schedules, follow-ups, and daily priorities while serving as a primary contact for customer inquiries. Responsibilities will vary from day to day. The right person enjoys bringing order to a busy environment, notices what needs attention, and follows through without repeated reminders. ADMINISTRATIVE SUPPORT
- Organize and prioritize the President's inbox; flag urgent messages, draft responses, and trackfollow-ups.
- Manage calendars, schedule meetings, prepare meeting materials, and maintain task lists.
- Track commitments and deadlines so important items receive timely attention.
- Coordinate business travel, appointments, and related logistics.
- Assist with personal scheduling, appointments, reservations, and occasional errands.
- Handle sensitive business and personal information with discretion. CUSTOMER SERVICE & ORDER SUPPORT
- Answer incoming calls and respond professionally to customer emails and inquiries.
- Help customers with product questions, order status, shipping updates, and routine servicerequests.
- Coordinate with sales, warehouse, and other team members to resolve customer issues.
- Assist with returns, exchanges, and order corrections within established policies.
- Maintain accurate notes and follow through until customer requests are resolved.
- Escalate issues requiring pricing, policy, or management decisions. BASIC BOOKKEEPING & ACCOUNTING SUPPORT
- Enter and organize routine transactions in QuickBooks.
- Assist with invoices, payment recording, bills, and expense documentation.
- Track unpaid invoices and assist with approved customer follow-ups.
- Collect receipts and maintain organized supporting records.
- Help match payments and deposits to the appropriate transactions.
- Assist with bank and credit card reconciliations under the President's direction.
- Flag missing information, discrepancies, and unusual transactions for review. OFFICE & GENERAL ADMINISTRATIVE SUPPORT
- Maintain organized files, contact lists, and company records.
- Manage office supplies, mail, deliveries, and routine vendor coordination.
- Assist with data entry, document preparation, and employee onboarding paperwork.
- Provide administrative support to sales and operations as priorities require.
- Identify recurring administrative gaps and help establish reliable processes.
QUALIFICATIONS:
- Experience in administrative support and assistance, customer service, or a related role.
- Basic bookkeeping experience and familiarity with QuickBooks Online is preferred.
- Strong organization, attention to detail, and written communication.
- Professional, friendly phone manner and patience when handling customer concerns.
- Proficiency with email, calendars, spreadsheets, and document software.
- Ability to shift between tasks, clarify priorities, and follow through independently.
- Sound judgment and discretion with confidential information.
- Willingness to handle both business and personal administrative responsibilities.
