Receptionist – Investment Management Firm
Location: Midtown Manhattan
Schedule: Monday–Friday, fully onsite | 8:15 a.m.–5:15 p.m.

An established institutional investment management firm with a strong global reputation is seeking an experienced Receptionist to be the welcoming face of its Midtown Manhattan office. This is a highly visible position for someone who enjoys front desk work, takes pride in polished service, and knows how to make clients, visitors, and colleagues feel welcome. Working alongside a collaborative administrative team, you will take ownership of reception and help keep the office’s daily activity running smoothly.
Key Responsibilities: Serve as the first point of contact for clients, visitors, and vendors, creating a warm, professional guest experience. Answer and direct incoming calls with courtesy, accuracy, and discretion. Coordinate conference room reservations, meeting logistics, and room setup and breakdown. Order and coordinate catering for internal meetings and client visits. Maintain employee attendance records, track PTO requests, and assist with calendar-related administrative tasks. Provide backup support to the Office Assistant, including mail distribution, document preparation, and kitchen upkeep. Assist Executive Assistants with coverage and administrative requests as needed. Record new issues, track presentations, and assist with expense report preparation and submission. Support administrative projects and respond thoughtfully to changing office priorities.
What We’re Looking For: Previous experience in a dedicated receptionist role is required, ideally within a corporate or professional office. An interest in a position centered on reception, hospitality, and front desk service. A polished, personable manner and excellent verbal and written communication skills. Strong attention to detail and the ability to manage calls, visitors, and meeting requests while remaining composed. Dependability, punctuality, and consistent follow-through. A proactive, collaborative approach and willingness to help colleagues. Proficiency in Microsoft Outlook, Word, and Excel. Bachelor’s degree preferred, but not required. This opportunity is especially well suited to an experienced receptionist who enjoys representing a respected firm and making the front desk a welcoming, well-organized part of the office.
