Operations AssistantShop - Houston, TX 77004OverviewPosition Type Full Time Category Admin - ClericalDescriptionJob title - Operations AssistantClassification - Non-ExemptReports to - Operations AdministratorSchedule - Monday Friday, 8:00 AM 5:00 PM / 40 hours a weekSummary/ObjectiveThe Operations Assistant reports directly to the Operations Administrator, which provides operational and administrative support at the branch level.Essential FunctionsAdministratively supports the operations teamMaintain return authorization and credit memo forms pending return of materialFile and research freight claims when appropriateProcess warehouse-receiving paperworkAssist in Warehouse order processing, shipping, receiving, and performs stock checksAssist Accounts Payable with invoice reconciliation and discrepanciesReconcile fuel card receipts and process freight invoicesProvide resolution for incoming over, short, damaged, and unidentified materialReconcile open ticketsDaily invoicingProvide backup for Switchboard OperatorProcess inbound customer returns in the system after matching the contents with the details on the sales return order.Communicate with the appropriate sales personal with regards to inbound material returns on any material that is returned and deemed a non-stocking item to facilitate the RGA back to the vendorRun open return reports to proactively seek out returns that may need to be cancelled or processedOther duties as assignedCompetenciesAbility to handle large volume of returns dailyGood communication skills, organizational skills for keeping records of return invoicesSelf-motivated and a Team playerProactive in terms of taking the initiative to perform tasks as requiredStrong analytical, problem-solving, and follow-through skillsReliable, Time Management, detail-oriented, and accurate in providing information to associatesAbility to work in a fast-paced environment and to meet cutoff periods and deadlinesSupervisory ResponsibilityThe Operations Assistant position has no direct supervisory responsibilities.Working conditionsWork EnvironmentThis job typically operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.Physical DemandsWork is generally sedentary in nature but may require standing and walking for up to 30% of the time.Position Type and Expected Hours of WorkThis is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. - 5:00 p.m. The employee must work 40 hours each week to maintain full-time status.TravelThis position requires no travel.QualificationsEducation and Experience1 2 years Electrical Industry experience is preferredCustomer Returns experience preferred
