About the role
Executive Administrative Assistant This position reports directly to the Director of Sales and serves as their right hand on day-to-day administrative and commercial work. It provides executive administrative support to the Director of Sales, prepares sales and pipeline reporting, and tracks new products and new customers as they move through onboarding from RFQ through first shipment coordinating between Sales, Customer Service, Production, Engineering, Quality, Planning, and Shipping along the way.
Key Responsibilities:
Provide executive administrative support directly to the Director of Sales, including calendar management, correspondence, travel coordination, and other day-to-day administrative tasks.
Support the sales team with daily sales operations, customer requests, quotes, and follow-up.
Maintain accurate customer, quote, opportunity, and sales information in Epics systems.
Track sales opportunities and ensure timely follow-up from lead, quote, order, delivery.
Coordinate customer requirements and information between Sales and internal departments.
Assist with quotations by gathering customer specifications, quantities, materials, finishes, packaging, and delivery requirements.
Coordinate with Engineering and Production to confirm customer requirements and manufacturing capabilities.
Track new products and new customers through the onboarding process from RFQ through first shipment keeping every step and department on schedule.
Prepare sales reports, dashboards, forecasts, and pipeline information.
Analyze sales data to identify trends, opportunities, and areas for process improvement.
Help resolve customer issues by coordinating with the appropriate internal departments.
Maintain strong communication and relationships with customers and internal teams.
Develop knowledge of aluminum extrusion processes, products, capabilities, and lead times.
Requirements

Minimum Qualifications:
High school diploma required; associate or bachelor's degree preferred.2+ years of experience in sales operations, customer service, manufacturing, or related experience.
Strong organizational, communication, analytical, and problem-solving skills.
Proficiency with Microsoft Office, particularly Excel.
Experience with Epics systems preferred.
Manufacturing or aluminum extrusion experience preferred.
