About the role
Job Summary
The Office Assistant is responsible for the Accounts Payable and Receivable, and other various jobs as assigned. This person will need to provide great customer service to both our vendors and customers at all times. Attention to detail is a must!
Responsibilities
Customer Service
Check Email Daily and respond in kind.
Adjust Schedule as needed to accommodate job extensions.
Handles Customer service issues as they arise.
Write Thank you notes to follow up with each work order.
Input and update customer rewards
Input and update warranties
Input and update various paperwork
Count daily cash drops and prepare deposits
Personnel
Conduct phone and face to face interviews
Maintain employee records
Operations
Solve operational problems as they happen.
Receives and checks in all work invoices.
Post all receipts to quick books
Keeps track of bills & schedule payments or prints checks for owner to sign.
Prepares invoices, follow up letters, and works on past due invoices.
Credit Card reconciliation
Filing
Inventory office supplies and maintain inventory
Bank Deposits
Qualifications
Basic accounting knowledge is preferred but not required.
Superior organizational skills with attention to detail.
Strong computer skills and ability to learn computer based concepts quickly.
Capable of handling multiple tasks at one time.
Ability to effectively present information in one-on-one and small group situations to customers, clients, and other associates of the organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percents and to draw and interpret bar graphs.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
Compensation
$19.00 - $23.00 per hour
