About the role
- Prepare, process, and submit manufacturer warranty claims accurately and within required deadlines
- Process extended warranty and service contract claims
- Process and manage fleet claims and billing
- Review repair orders (ROs) and supporting documentation for completeness and accuracy
- Ensure warranty claims meet manufacturer requirements before submission
- Track outstanding warranty claims from submission through payment
- Follow up on unpaid, rejected, or denied warranty claims
- Research and resolve claim discrepancies, denials, and chargebacks
- Maintain accurate warranty claim records and documentation
- Reconcile warranty payments with submitted claims and repair orders
- Manage accounts receivable (A/R) and monitor outstanding balances
- Post and reconcile customer and warranty payments
- Follow up on outstanding receivables and assist with account reconciliation
- Research and resolve billing and payment discrepancies
- Work closely with the Service Department and Accounting Department to resolve warranty, billing, and receivable issues
- Maintain organized and accurate dealership accounting records
- Assist with additional warranty, accounting, and administrative responsibilities as needed
- Previous automotive dealership warranty, service, accounting, or accounts receivable experience preferred
- Automotive warranty claims experience strongly preferred
- Experience processing manufacturer or extended warranty claims is a plus
- Understanding of repair orders, warranty documentation, and dealership service processes preferred
- Accounts receivable or dealership accounting experience is a plus
- Experience with a dealership management system (DMS) is preferred
- Strong attention to detail and accuracy
- Comfortable working with numbers, invoices, payments, and financial records
- Strong computer and data-entry skills
- Excellent organizational and time-management skillsAbility to manage multiple claims and priorities while meeting deadlines
- Strong written and verbal communication skillsAbility to research discrepancies and solve problems independently
- Dependable, professional, and able to handle confidential information
