Medical Records Coordinator Community Medical Group is seeking a detail-oriented, organized, and dependable Medical Records Coordinator to join our team. As a Medical Records Coordinator, you will play an essential role in supporting patient care by ensuring medical records are accurate, complete, and accessible when needed. This position is responsible for managing the intake, organization, retrieval, and maintenance of medical records while maintaining the highest standards of confidentiality and regulatory compliance. Key responsibilities include:
  • Processing incoming medical records, faxes, scanned documents, and correspondence within established turnaround times
  • Uploading documents accurately into the Electronic Medical Record (EMR) system while ensuring proper patient identification and document classification
  • Reviewing records for completeness, accuracy, duplicate status, and correct dates of service before finalizing uploads
  • Coordinating and managing medical record requests from internal departments, patients, and external healthcare providers
  • Obtaining and uploading external records from hospitals, specialists, imaging centers, and other healthcare facilities
  • Tracking and following up on outstanding record requests to ensure timely completion and resolution
  • Assisting in obtaining prior medical records for new patient appointments
  • Maintaining detailed and auditable documentation of requests, follow-up activities, and record status updates within the EMRMonitoring referral and imaging-related documentation to support continuity of care
  • Ensuring strict compliance with HIPAA regulations, patient privacy requirements, and company policies
  • Meeting departmental productivity, accuracy, and workflow standards
  • Identifying opportunities for process improvement and workflow optimization within the medical records function
  • Performing additional duties as assigned
Qualifications include:
  • High school diploma or equivalent required
  • Previous experience in a medical records, healthcare, or clinical office environment preferred
  • Experience working with Electronic Medical Records (EMR) systems and document management processes
  • Knowledge of HIPAA regulations and medical record confidentiality requirements
  • Strong organizational skills and ability to manage multiple priorities effectively
  • Exceptional attention to detail and commitment to data accuracy
  • Strong written and verbal communication skills
  • Ability to work independently and follow established procedures consistently
  • Proficiency with Microsoft Office applications and computer-based systems
  • Knowledge of medical terminology preferred
  • Ability to maintain professionalism and confidentiality when handling sensitive patient information
  • Bilingual in English and Spanish or English and Creole preferred
