About the role
Owner of major local sports organization with additional philanthropic commitments seeks a quality of Executive Assistant support that will allow her to perform at the highest level given her demanding and high-stakes position. Associated responsibilities will be varied and deep, including acting on her behalf with UHNWI, celebrities, stakeholders, board members of her Charitable Foundation, team management, and all members of her professional support network. This position is for someone with significant experience, not only for years assisting, but hardcore time simultaneously in the trenches and the spotlight. It’s a person who can seamlessly shift gears, work hard in the clutch, look ahead for what’s coming up, and not show stress.
Requirements:
Minimum 4 years’ EA experience for a C-level or UHNW principal- Strong written and verbal communications- Experience interfacing with foundation boards; knowledge of charitable giving space- Familiarity with Tampa; knowledge of restaurants, venues, private clubs, cultural offerings- Established local network within the hospitality, luxury travel and event planning spaces- Existing contact list for vendors for office and home renovations, repairs- Polished presentation, unflappable demeanor, ability to effectively represent principal to internal and external stakeholders- Flexibility to adjust working hours according to job parameters / demands / requirements- Experience working well with established corporate teams and household staff- Pronounced organizational skills- Facility with developing and following multiple project timelines- Working style that is fast, efficient, and effectively identifies the most meaningful priorities- A medium-thick to thick skin for receiving directives and feedback Responsibilities- Communications with multiple stakeholders: team management, VIPs, press, charitable foundation, corporate- Manage dynamic professional and personal calendar- Secure reservations and manage relationships with top restaurants and private venues in Tampa- Track personal commitments and appointments including maintenance and healthcare- Triage email inbox- Plan meetings including agendas, presentations, research, scheduling- Execute events and parties from concept through day-of logistics, including vendor sourcing, guest coordination, and onsite supervision- Coordinate luxury travel arrangements, including private aviation, accommodations, ground transportation, dining and associated itineraries- Maintain and expand a network of trusted local vendors and service providers- Handle a wide range of ad hoc executive and personal support tasks in real time with minimal oversight- Serve as a true extension of the principal, representing her interests and preferences in interactions with vendors, staff, and outside contactsM-F 9-5 in office is default; additional days and/or nights required at with season / visiting VIPs$150K-$175K/year + health care benefits, 401(k)
