About the role
Supervise, coach, and develop the administrative support team
Oversee daily administrative operations and workload management
Coordinate Board and Committee meetings, including agendas, materials, and meeting logistics
Improve administrative processes, workflows, and office procedures
Review reports, correspondence, agendas, minutes, and other department documents
Manage records retention, filing systems, and compliance with policies and procedures
Support procurement, contracts, special projects, and department initiatives
Partner with City departments, Board Trustees, consultants, vendors, and retirees
Provide executive-level administrative support as needed
Handle confidential and sensitive information with professionalism and discretion
Qualifications
Associate degree in Business or a related field preferred
5+ years of progressive administrative, office management, or business support experience
Previous supervisory or team lead experience
Strong organizational, communication, and customer service skills
Experience managing multiple priorities in a fast-paced environment
Proficiency with Microsoft Office and standard office technology
Ability to analyze information, prepare reports, and improve processes
