Job Description: Front Desk Support DailyOpen the front lobby for the day including turning on interior lights, computer monitors, and surveillance cameras monitor. Check the agencys e-mail inbox and distribute messages to the appropriate staff member. Unlock the board and training room doors. The lobby opens at 9:00am, unlock the front door. Answer all incoming calls from the public at 9:00 a.m. and connect callers to the appropriate staff member. Manage visitors building sign-in and sign-out process including distribution of visitors badges. Manage the contractor fob sign-in and out process. Manage the daily mail delivered from inter-office mail delivery, and inter-departmental mail. Manage the parcel deliveries from UPS, FEDEx, Staples, etc. Greet walk-in clients and ensure that they connect with Clients Right Officer. Monitor the surveillance cameras every 15 minutes. Shut down the front lobby at 4 p.m. including turning off the lights, locking the front door, and locking the board and training room doors. The phone automatically switches to the after-hours voicemail system.
Skills: Knowledge of spreadsheets, emails, Microsoft Word, Excel, and Outlook. Excellent interpersonal and communication skills. Experience in answering and screening calls, as well as scheduling appointments. Excellent written and oral communication skills. Ability to create a welcoming environment. Ability to observe business etiquette and maintain a professional appearance. Ability to work independently. Ability to relate with people from diverse backgrounds with multiple individual and systemic barriers to success. Ability to work with people in crisis and maintain confidentiality.
Experience: Two years experience in administrative support and/or training in human services, homelessness and housing, substance use treatment, criminal justice, or related field.
