Required Qualifications:
(as evidenced by an attached resume): Bachelor's degree (foreign equivalent or higher) from a college or university program accredited by an agency recognized by the Council for Higher Education Accreditation (CHEA) in business administration or related field. Three (3) years of full-time progressively responsible administrative experience in an office setting. Supervisory or management experience.
Preferred Qualifications:
Master's degree (foreign equivalent or higher) from a college or university program accredited by an agency recognized by the Council for Higher Education Accreditation (CHEA) in business administration or related field. Project management or administrative leadership certifications. Experience working in higher education or healthcare.
Brief Description of Duties
The Supervisor of Administrative Support Services is responsible for the leadership, coordination, and oversight of all administrative assistants within the School of Dental Medicine. Reporting to the Associate Dean for Finance and Administration, this position ensures the delivery of high-quality administrative support across departments by establishing standards, optimizing workflows, managing staffing and performance, and fostering professional development.
Supervise and lead all administrative assistants and designated administrative support staff. Recruit, onboard, train, and evaluate administrative personnel. Establish administrative service standards, policies, and best practices. Coordinate administrative resources across departments and ensure adequate coverage. Identify and implement process improvements and technology solutions. Serve as the primary escalation point for administrative support issues. Assist with budget planning, resource allocation, and office operations. Ensure compliance with SDM policies and confidentiality requirements.
The ideal candidate will have strong leadership, communication, and organizational skills.
Administrative: Establish administrative service standards, policies, and best practices. Coordinate administrative resources across departments and ensure adequate coverage. Identify and implement process improvements and technology solutions. Serve as the primary escalation point for administrative support issues. Assist with budget planning, resource allocation, and office operations. Ensure compliance with SDM policies and confidentiality requirements.
Provide coverage for administrative staff who are out.
Supervisory: Supervise and lead all administrative assistants and designated administrative support staff. Recruit, onboard, train, and evaluate administrative personnel.
Special Projects: Assist Associate Dean for Finance and Administration with special divisional projects in the SDM Coordinate logistics, scheduling, and resource allocation for special projects Maintain detailed project documentation and track deliverables to ensure timely completion Prepare presentations, reports, and executive summaries to communicate findings and recommendations.
Other duties or projects as assigned as appropriate to rank and departmental mission.
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption. In addition to the employee's base salary, this position is eligible for $4000 UUP annual location pay, paid biweekly. For this position, we are unable to sponsor candidates for work visas.
