About the role
Administrative Support AssociateThe Administrative Support Associate provides clerical and administrative support to the Customer Service team. This role assists Customer Experience Representatives (CERs) with routine administrative, data entry, documentation, and system-related tasks, allowing the CER team to focus on customer communication, account management, order coordination, and issue resolution.The position requires strong organization, accuracy, attention to detail, and the ability to manage multiple administrative tasks in support of customer and departmental needs.Responsibilities:Provide day-to-day administrative support to Customer Experience Representatives and the Customer Experience ManagerAssist with order entry and other routine order-processing activities as directed by the CER teamEnter, update, and maintain customer and order information within ERP, CRM, and other company systemsAssist with customer portal administration, including uploading or retrieving documents and maintaining required informationSupport preparation and processing of customer quotes, forms, reports, and other documentationAssist with maintaining customer records, account information, and electronic filesReview administrative documentation for completeness and accuracy and identify missing information for follow-upAssist with gathering and organizing information needed by CERs to support customer requests and internal coordinationPerform data entry, filing, scanning, copying, and document managementAssist with routine customer service reporting and tracking activitiesSupport departmental projects and other administrative assignments as neededCommunicate professionally with internal departments and, when appropriate, customers regarding routine administrative mattersMaintain confidentiality of customer, company, and other sensitive informationPerform other duties as assignedSkills and Qualifications:High school diploma or equivalent requiredBasic proficiency in Microsoft Office Suite, including Word, Excel, and OutlookStrong organizational skills and attention to detailAbility to accurately enter and maintain information in company systemsAbility to prioritize and manage multiple tasksStrong written and verbal communication skillsDependable, punctual, and able to follow established processes and instructionsAbility to work collaboratively in a team environmentAbility to maintain confidentiality and professional conductExperience with ERP, CRM, customer portals, or order-entry systems preferredOther Details:Work Environment: Office-based environment with occasional visits to the manufacturing floor or other company locations as necessary.Physical Demands: Primarily sedentary work; occasional standing, walking, and lifting of materials up to 25 pounds.Schedule: Full-time, Monday to Friday, with flexibility for extended hours or weekends as needed to support company operations.ADA Compliance: Alinabal is committed to providing reasonable accommodations in accordance with the Americans with Disabilities Act (ADA).
