JRN: 2663We are seeking a warm, organized, and resourceful Family Office Assistant to support a private family office in New York.. This role keeps the office running smoothly and supports the family with gifting, children's projects, and special occasions. The ideal candidate has a family assistant or nanny background, enjoys children, and brings a polished, hospitality-minded presence. This is not a nanny role, but you will be interacting with the children on a regular basis.
Responsibilities: Greet office guests and support hospitality for meetings and lunches. Receive packages and mail and manage office deliveries. Maintain and restock the pantry, supplies, and office spaces. Place grocery orders and care for plants. Lead holiday and birthday gifting for the family and team. Build gift idea sheets for review, then order, wrap, deliver, and track. Support family projects, including photo books, children's events, and travel gift preparation. Handle children's orders, such as clothing, and help coordinate schedules as needed. Run occasional errands, including a child pickup when needed. Coordinate pet care and the transport of items between properties. Manage team uniforms, product inventories, and subscriptions. Plan team birthdays, work anniversaries, outings, and appreciation moments. Support new hire onboarding, including workspace setup and welcome materials. Assist with holiday decor installations and serve as backup for other office roles.
Qualifications: Prior experience as a family assistant, nanny, or office assistant in a private or high-touch setting. Enjoys working with children. Strong gifting instincts and an eye for presentation. Tech-savvy and comfortable using AI tools. Proficient in Microsoft Office. Highly organized and detail-oriented. Able to juggle competing deadlines. Excellent written and verbal communication. Warm, polished, and dependable, with strong discretion. Able to sit and stand for long periods and lift 40 lbs.
Location: New York, NY. Must live locally. Fully in person, five days a week, in a Manhattan office.
Schedule: Monday through Friday, about 9:00 AM to 6:00 PM, with occasional later evenings as needed.
Compensation: $90,000 to $120,000 DOE, plus year-end bonus. Room to grow.
