What you'll do:
You will own the delivery and continuous improvement of workplace operations and office services activities that support a seamless, compliant, and high-quality office experience. You will serve as a subject matter expert across multiple workplace service areas, driving operational excellence, process adoption, stakeholder engagement, and continuous improvement initiatives. You will apply structured problem-solving, operational expertise, and sound judgment to manage complex operational activities, influence stakeholders, improve service delivery, and ensure alignment with firm standards. By coaching and mentoring colleagues, driving the adoption of best practices, and leveraging data, technology, and operational insights, you will directly improve workplace services and positive business outcomes. To achieve this impact, you will coordinate and oversee a comprehensive range of workplace services, including meeting room operations, facilities management, catering and pantry services, health and safety programs, front desk operations, and visitor management. You will handle essential logistics such as mail and package services, transportation, print and design services, event support, and other office-specific operational needs. Your daily focus will involve collaborating across departments, vendors, building management, and key stakeholders to anticipate needs, resolve issues, and support business objectives. Additionally, you will manage vendor relationships, operational budgets, inventory, invoicing, and expense processes in accordance with firm policies and compliance requirements. By analyzing operational data, client feedback, and service performance metrics, you will identify trends, generate insights, and recommend improvements. We want you to champion the use of technology, automation, reporting tools, and firm-approved solutions to improve efficiency, service quality, and operational effectiveness. Ultimately, you will lead continuous improvement efforts by identifying opportunities to streamline processes, enhance service delivery, reduce risk, and improve the workplace experience, while coaching and training colleagues to foster operational excellence and knowledge sharing. Your background University degree and/or advanced certifications in office management, facilities management, hospitality, business administration, or a related field preferred Significant experience supporting workplace operations, office services, facilities management, hospitality, or administrative operations, preferably within a professional services or corporate environment Experience leading operational initiatives, coordinating vendors and stakeholder groups, and driving process improvements Proven ability to build strong stakeholder relationships and influence the adoption of operational processes, policies, and best practices Capability to independently manage complex operational priorities, projects, and service delivery activities Strong problem-solving, risk assessment, and organizational planning skills to implement sustainable solutions and coordinate multiple initiatives Experience coaching and developing colleagues, fostering collaboration, knowledge sharing, and continuous improvement Proficiency in leveraging data, technology, and automation to identify trends, improve workflows, and enhance operational effectiveness Deep knowledge of workplace operations, facilities, hospitality, administrative services, compliance requirements, and operational controls Ability to work in-person (team schedules and office locations may vary) and operate standard office equipment Ability to handle transportation of materials or objects, when required Effective communication skills across stakeholder groups, with the ability to translate operational insights into clear recommendations and actions
