About the role
Position Summary:
The Commercial Lease Coordinator is responsible for overseeing and supporting all leasing activities for the organization’s commercial portfolio, including two retail mall locations totaling approximately 420,000 square feet. This role ensures the accuracy, compliance, and organization of all commercial leasing files while driving occupancy, tenant retention, and revenue growth. The ideal candidate will combine strong sales acumen, operational oversight, and relationship management skills to support the success and expansion of the commercial leasing program. Essential Functions and Responsibilities
Manage and coordinate the daily operations of the Commercial Leasing Department.
Conduct routine inspections of both mall locations, including common areas, tenant spaces, and parking facilities, to ensure proper maintenance and presentation.
Oversee all leasing functions, including reviewing, preparing, and participating in the negotiation of lease agreements and transactions.
Ensure all leasing documentation and records are accurate, complete, and compliant with established policies and procedures.
Perform outreach marketing efforts to attract prospective tenants and maintain strong relationships with existing commercial tenants.
Actively promote tenant retention and identify opportunities for commercial expansion within the property.
Inspect vacant commercial spaces to ensure readiness for new tenancy and coordinate necessary turnover activities.
Provide high-level customer service to current and prospective tenants, addressing inquiries and resolving issues promptly.
Collaborate with the Accounting Department to monitor and support the financial performance and budgetary goals of the commercial leasing portfolio.
Prepare and submit monthly commercial performance reports and weekly activity reports.
Maintain and organize all commercial tenant files in both physical and digital formats.
Stay informed of market trends and competitive properties to enhance leasing strategies.
Participate in special projects and initiatives assigned by senior management.
Qualifications:
Bachelor’s degree (B.A.) or equivalent experience in Real Estate, Business Administration, or a related field
Minimum of 7 years of experience in commercial leasing, property management, or a related field
Strong leadership, sales, and negotiation skills
Excellent time management and decision-making abilities
Strong written and verbal communication skills
Demonstrated commitment to high-quality customer service
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Power Point) and social media platforms
Knowledge of Yardi a plus
Ability to stay current with industry trends and market conditions
Strong analytical skills with the ability to identify issues and present effective solutions
Ability to work independently and manage multiple priorities effectively Physical Requirements
Position requires significant fieldwork across both mall locations
Ability to sit, stand, walk, bend, climb, reach, and perform light lifting as needed
Ability to walk short and long distances for property inspections
