The Executive Assistant Affiliate is responsible for providing administrative and clerical assistance to the assigned Executive officer and/or Executive team with daily activities and projects, performing a wide variety of complex clerical functions. This position supports Urology Affiliates, an affiliate of Solaris Health, and may involve coordination across affiliate‑specific operations.ESSENTIAL JOB FUNCTION/COMPETENCIES
Responsibilities include but are not limited to:Handles a wide range of administrative and support tasks and independently initiates and implements processes to manage projects, information, and people within the affiliate structure.Maintains travel arrangements and appointment calendar for Executives and Physicians. Arranges appointments, meetings, and conferences. Contacts the appropriate persons to attend.Attends meetings or conferences as assigned and reports on major points and actions involved to be taken.Attends monthly board meetings and takes minutes for affiliate leadership.Handles a variety of matters involving contact with various staff, board members, medical committees, government agencies, and the public.Composes correspondence and disseminates to appropriate individuals. Answers phones.Prepares various documents and handles confidential matters in accordance with clinic and affiliate rules and procedures.Maintains patient confidentiality.Enhances communications by consistently displaying excellent customer service skills in behavior and attitude.Performs other position‑related duties as assigned.Employees shall adhere to high standards of ethical conduct and comply with all applicable laws and regulations, including the Solaris Health Code of Conduct and all national and affiliate policies; maintain confidentiality of patients' protected health information; immediately report any suspected concerns and/or violations; and complete Annual Compliance Training in a timely manner.CERTIFICATIONS, LICENSURES OR REGISTRY REQUIREMENTSN/AKNOWLEDGE | SKILLS | ABILITIESExcellent verbal and written communication skills.Excellent organizational skills and attention to detail.Strong problem‑solving skills.Extensive knowledge of office administration, clerical procedures, and record‑keeping systems.Excellent time management skills with a proven ability to meet deadlines.Ability to function well in a high‑paced and at times stressful environment.Ability to work independently and manage deadlines.Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and Outlook.EDUCATION REQUIREMENTSHigh School Diploma or equivalent required.Bachelor’s degree in Business Administration or related field preferred.EXPERIENCE REQUIREMENTSAt least four years of related experience required.REQUIRED TRAVELN/APHYSICAL DEMANDS
