About the role

ReceptionistKPF, a global architecture practice, is seeking a receptionist in its New York City headquarters to provide top-level hospitality to all guests and employees. This role is in-office Monday to Friday, from 8:30AM until 5:30PM and is overtime eligible.
Primary Responsibilities:
  • Greets all visitors to office and ensures a successful experience at KPF. Serves as first point of contact for all visitor questions and IT issues with conferencing software.
  • Manages global contact phone line to route inquiries to the proper departments.
  • Takes ownership of conference room scheduling and resolves booking issues. Proactive in problem-solving to avoid issues before they happen.
  • Ensures all guests are registered with lobby security for smooth arrival.
  • Coordinates with hospitality team to ensure all conference room spaces are prepared for meetings and events.
  • Restocks conference rooms with supplies (pens, notepads, etc) when needed.
  • Cleans conference room screens when appropriate.
  • Proactive in scheduling to ensure reception desk coverage during lunch breaks, etc.
  • Identifying and notifying Facilities for repairs and clean-ups to maintain visual quality of the office.
  • Lead point person for questions from employees and visitors. Ensure all issues are resolved to satisfaction.
  • Handles messaging and signage for office during events and filming/recording sessions.
  • Manages and updates digital signage in office.
  • Backup to the Hospitality team when needed.
  • Assists in updating our client contact database.
  • Assists in office supplies expense reconciliation.
  • Handles other special projects and related duties as needed.
  • Excellent customer service skills. Comfortable speaking with large groups.
  • Moderate level of proficiency with Outlook, Word and Excel.
  • Good problem-solving skills and sense of when to escalate issues to management.
  • Ability to use good judgment and maintain confidentiality.
  • Active listening skills and excellent communication skills, both verbal and written
  • Ability to work collaboratively and to interact with all staff on different levels consistently with diplomacy and integrity.
  • Able to receive constructive criticism for the staff and/or firm's needs.
  • Able to prioritize and multitask with little supervision; also flexible in reprioritizing as needed.
  • Maintain an optimistic attitude. No-job-too-small mentality.
Qualifications: Bachelor's Degree 1+ years of front desk experience in a professional/hotel environment preferred.
