ESSENTIAL DUTIES:Answers telephones; records and distributes messagesEnsures that the telephone and front desk are covered at all timesReceives, logs and distributes faxes as received and replaces fax paper as neededInventories, requisitions and orders office supplies as neededPerforms "mail runs" when neededCoordinates maintenance persons in locating areas needing attentionEstablishes priorities for task completion with Office ManagerKeeps conference room calendars for reservations for usageAssists with photocopying, assembling and distributing program materialsAssists with filingCreates any needed documents in the form of letters, memorandums, proposals or reportsMaintains confidentiality when dealing with staff and client mattersOpens, date stamps and distributes incoming mailProvides excellent customer service and accurate program information to individuals inquiring about programs and servicesOther duties as assignedMINIMUM QUALIFICATIONS: The Office Assistant must be organized, self-motivated and exercise good judgment. Must be able to perform secretarial duties. Requires good office skills. Must have excellent written and verbal communication skills.High school diploma or GEDProficient in Microsoft OfficeAbility to communicate effectively with clients, staff and medical professionals Ability to take direction and work under general supervision Ability to work effectively and responsibly in a professional settingAbility to work effectively under stress and conflict Ability to be flexible and adaptable in any given situationMaintains boundaries with clientsActs and dress professionally.
