Position Summary: The Fleet Management Coordinator Data Entry Specialist is responsible for performing advanced, high-volume data entry and coordination tasks in support of fleet operations. This role requires expert-level proficiency in managing vehicle records, processing invoices, and maintaining accurate and efficient updates across systems such as EAM, Maximo, and Oracle. The ideal candidate brings strong analytical skills, exceptional attention to detail, and the ability to work independently in a fast-paced environment.
Key Responsibilities: Data Entry & Management: Accurately input and verify data into spreadsheets, databases, and fleet management systems.
Perform data integrity checks and resolve inconsistencies to maintain high-quality records.
Generate reports and support data analysis efforts for project and operational needs.
Fleet Systems Support: Update key data fields in EAM, including Chassis/Unit Cost, Invoice Amounts, Body Labor, and Total Capitalized Cost.
Manage unit assignment changes and in-service status updates.
Receive vehicles in Maximo and track purchase order lifecycle, closures, and status revisions.
Invoice Processing: Process and reconcile invoices using Oracle, ensuring accuracy and resolving discrepancies.
Communicate with suppliers regarding invoice status, missing documentation, or inaccuracies.
Documentation & Reporting: Maintain secure and organized electronic and physical records.
Prepare spreadsheets, reports, and documents for internal stakeholders and operational use.
Provide expert-level support to team members on data entry best practices and process improvements.
Qualifications: 610 years of experience in data entry, fleet management, or related administrative roles.
Proficient in EAM, Maximo, and Oracle systems.
Advanced skills in Microsoft Excel and data reporting tools.
Strong attention to detail with a proven track record of data accuracy.
Excellent communication and problem-solving abilities.
Ability to work independently, manage priorities, and meet deadlines in a high-volume setting.
