About the role
- Operations and systems
- Monday.com is yours: boards current and monitored across every active account, so you know what is moving, what has stalled and what is due.
- Own time tracking, and report on where hours are actually going against what each client is paying for.
- Keep internal documentation, templates, manuals and processes current and improve them as you go, and flag where our operating standards are slipping.
- Manage software subscriptions, vendors and contractor agreements — renewals, costs, billing failures, and the cancellations that follow when a client relationship changes.
- Invoicing and collections
- Run the full invoicing cycle across two entities (a Canadian Inc. and a US LLC), accurately and on schedule.
- Own collections: write the payment reminders, stay on them across multiple invoices and months, and escalate to the founder early.
- Keep clean records and work with our bookkeeper on anything that touches the books.
- Client onboarding and delivery
- Run client onboarding end to end: contract, onboarding emails, project plan, access and credentials, Monday.com board.
- Watch delivery across every account — chase approvals, assets and sign-offs, and surface stalled deliverables rather than waiting for someone to notice.
- Flag scope creep and client issues to the founder before they grow.
- Be the point of contact for clients on anything administrative: invoices, scheduling, paperwork, access.
- Team and people administration
- Onboard and offboard team members, contractors and interns: interview scheduling, contracts, accounts, equipment, onboarding documents and the training that gets someone productive.
- Track time off, personal days and team availability.
- Keep contractor agreements, rates and payment schedules current, and handle small equipment and logistics needs for the team.
- Support to the Founder & CEOManage the calendar: scheduling, rescheduling, protecting focus time.
- Triage the inbox — flag what needs attention, draft routine replies, make sure nothing important goes quiet.
- Prepare for meetings: agendas, briefing notes, background on who we are meeting and why.
- Capture decisions and action items and chase them to completion, and coordinate travel, client visits and team gatherings.
Before you apply
Applying takes about a minute. These four things decide how fast it moves after that.
Your profile is current
It's what we read first. Occupations, seniority and locations matter more than a long history.
Two examples you can talk through
Not a portfolio — just two pieces of work where you can explain the decisions and what you'd change.
A number in mind
What you're on now and what would make you move. We negotiate better when we know both.
Your notice period
Employers plan around it, and it's the question that stalls offers most often.
Once you apply, someone reads it and calls you before anything reaches the employer — usually within two working days.
