Position Overview
Apex Energy Technology is seeking a highly organized, proactive, and detail-oriented Executive Assistant & Operations Coordinator to support senior leadership and assist with day-to-day business operations. This role offers exposure to executive decision-making, project coordination, business operations, and strategic initiatives within a growing company.
The ideal candidate is professional, resourceful, adaptable, and comfortable managing multiple priorities in a fast-paced environment.

Responsibilities
Manage executive calendars, meetings, travel arrangements, and correspondence
Coordinate with vendors, service providers, landlords, and external partners
Assist with contract administration, document preparation, and record management
Conduct research and prepare reports related to energy, technology, and business operations
Support office administration and daily operational activities
Track project deadlines and follow up on action items
Prepare presentations, meeting materials, and executive summaries
Maintain organized company records and documentation
Assist with special projects and business development initiatives
Provide general administrative and operational support to company leadership
Qualifications
Professional fluency in both English and Mandarin Chinese
Strong organizational and time management skills
Excellent written and verbal communication skills
Ability to work independently and manage multiple priorities
Strong attention to detail and problem-solving abilities
Authorized to work in the United States
Preferred Qualifications
Prior experience supporting executives, managers, or business leaders
Experience with operations, project coordination, or office management
Interest in technology, energy, data centers, or infrastructure industries
Experience reviewing contracts or coordinating vendors is a plus
Training & Travel Requirements
The selected candidate will participate in a comprehensive three-month onboarding and training program to develop a strong understanding of company operations, project coordination, and industry-specific knowledge related to energy and data center infrastructure. This role requires occasional domestic and international travel to support business operations, training, meetings, and special projects. Flexibility and willingness to travel are important for success in this position.
Compensation
Salary: $50,000 – $70,000 per year , based on experience and qualifications
