Job Summary: We are seeking an Administrative Assistant to support the day-to-day operations of an office in Tempe, AZ. This role will oversee the front desk while providing administrative, mailroom, supply management, and light facilities support. The ideal candidate will have 2–3 years of receptionist or office assistant experience and be comfortable working in a hands-on, onsite office environment.
Key Responsibilities: Manage the front desk, greet and direct visitors, contractors, and deliveries Answer and route a moderate volume of calls using a multi-line phone system Sort and distribute incoming mail and prepare outbound USPS mail Coordinate inbound and outbound shipments through carriers such as UPS and Fed ExStock and maintain kitchen, office supply, first aid, snack, and mailroom areas Place supply orders and manage backstock Replenish facility dispensers, including sanitizer and utensils Assist with facility-related requests, including badge supplies, headsets, and other office needs Perform light cleaning, including regular cleaning of the soda fountain Complete light maintenance and general office/facility tasks as needed Serve as a point of contact for facilities-related requests and assist the Office Manager Support miscellaneous facilities reporting and administrative activities Perform other duties as assigned
Qualifications: High School Diploma required 2–3 years of Receptionist or Office Assistant experience required 2–3 years of Facilities Maintenance and/or Mailroom experience preferred Strong communication and customer service skills Comfortable handling multiple responsibilities in a busy office environment Ability to work 100% onsite
