Research Operations Coordinator
Location: Ridgefield, CT
Schedule: Fully On-Site
Contract: 12-month contract with strong potential for conversion to FTEWe are seeking an experienced Research Operations Coordinator to provide project coordination, administrative, event, and operational support within a fast-paced research environment. This is a highly collaborative role that works across multiple internal teams, vendors, and stakeholders to keep projects, events, and day-to-day activities moving forward. The ideal candidate is organized, proactive, comfortable working with senior stakeholders, and able to manage multiple priorities with minimal supervision. Candidates with backgrounds in project coordination, project management, administrative operations, procurement support, event coordination, or research operations are encouraged to apply.
What You'll Do:
  • Coordinate projects and track action items, deadlines, and deliverables across multiple stakeholders
  • Attend team meetings, document action items, follow up with owners, and communicate status
  • Gather requirements, coordinate meetings, and help drive small-to-medium projects forward
  • Support planning and execution of onsite meetings, workshops, town halls, and other events, including room setup, AV, catering, scheduling, and day-of logistics
  • Coordinate travel, expenses, purchasing, invoices, and other administrative activities
  • Create and manage purchase orders and assist with procurement and goods-receipt processes
  • Coordinate vendor communications, quotes, onboarding, and required documentation
  • Draft professional communications, calendar invitations, announcements, and feedback forms
  • Maintain databases, task rosters, equipment/asset information, and other internal records
  • Coordinate equipment transfers and logistics with appropriate internal teams
  • Support external partners and vendors by directing questions and following up on outstanding items
  • Provide general operational and administrative support for special projects and ad hoc requests
What We're Looking For:
  • Bachelor's degree
  • Approximately 10+ years of professional experience preferred
  • Experience in project coordination, project administration, operations, administrative coordination, procurement, event logistics, or a related environment
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proven ability to track action items, follow up with stakeholders, and keep work moving toward completion
  • Comfortable managing multiple priorities in a fast-paced environment
  • Self-directed, resourceful, and proactive
  • Comfortable learning new systems, databases, and technology
  • Strong stakeholder and vendor coordination skills

Experience with SAP/WeBuy is helpful but not required. The ability to quickly learn new systems and technology is more important. The role may involve SAP/WeBuy, Microsoft Outlook, Microsoft Forms, Teams, internal databases, asset/logistics systems, and other site-specific applications. Why This Role?
