About the role

HR Assistant The Office of Human Resources is seeking ambitious working professionals to apply for the role of HR Assistant. This position provides key support to the Human Resources Office and is a critical part of day-to-day operations. The ideal applicant would excel at greeting employees and visitors, answering incoming phone calls, directing inquiries to the appropriate staff or resource, assisting with new hire I-9s, sorting and distributing mail, ordering supplies, keeping information organized, and providing general administrative support to the department.
Responsibilities: Provide front-line administrative support with excellent customer service; greet visitors; provide visitor support, including answering phones and taking messages; notify staff of visitors to the office. Receive and direct/distribute general HR inquiries and communications (phone, email, mail, etc.). Provide general customer service to all customers in person or via phone/email. Complete all tasks related to new employee I-9s, including booking, verifications, documentation, etc. Provide basic information regarding job application status and troubleshooting. Assist visitors in completing applications for university jobs at kiosks. Schedule and manage internal office space reservations, and reserve external meeting & event spaces as needed. Open and close the office during hours of operation. Assist with administrative duties related to trainings, events, surveys, code or account requests, etc. Support HR Office Manager as needed Order and manage inventory of office equipment and supplies. Additional office tasks and projects as needed.
Qualifications
Required Qualifications
Education: High School Diploma or GED
Experience: 2 years of experience in customer service field in a professional setting with primary responsibilities of an office/clerical nature. Knowledge, Skills, & Abilities: o Knowledge of Microsoft Office suite specifically Excel, Word and Outlook. o Strong customer service skills. o Outstanding communication, interpersonal and organizational skills. o Ability to perform tasks independently and efficiently. o Ability to perform under strict deadlines and be self-motivated. o Ability to collaborate effectively with campus partners and visitors. o Ability to follow detailed instructions. o Ability to operate with professionalism, integrity and discretion to maintain confidentiality and handle sensitive information.
Preferred Qualifications
Experience: o Experience in a Human Resources office. o Experience with I-9 processing. o Experience working with sensitive documentation.
