This is an individual contributor role reporting to the CEO, with no direct reports.The role is posted as full-time, and we are open to a part-time schedule for the right candidate. Tell us in your application what schedule you are looking for.The Executive Assistant is the first point of contact for incoming calls and a central coordinator for the company's calendars, travel, records, and follow-through. The role suits someone who anticipates what is needed, protects the executive team's time, and closes loops without being asked twice.Day-to-day responsibilities include:Communication and schedulingAnswer and route the company's main line, take messages, and direct callers to the appropriate departmentManage the CEO's calendar and coordinate scheduling for the executive team, including internal meetings, customer calls, and vendor appointmentsDraft, proofread, and send correspondence on behalf of the CEOAssist with inbox triage and prioritizationTravel and expenseArrange domestic travel for the executive team and field staff, including flights, lodging, ground transportation, and detailed itinerariesPrepare and submit expense reports, collect and code receipts, and reconcile company card activity with the ControllerRecords and administrationMaintain organized digital filing across the company's document systems, including consistent naming conventions and version controlProcess purchase orders, manage vendor accounts and software subscriptions, and track renewal datesRequest and track certificates of insurance, W-9s, and other vendor documentationMonitor recurring compliance deadlines, including licensing, registration, and insurance renewalsHandle mail, shipping, and supply ordering for the companyMeeting and project supportPrepare agendas and materials ahead of executive and team meetingsTake meeting notes, capture action items, enter them into the company's project management system, and follow up until they are closedAssist with onboarding and offboarding logistics for new team members, including equipment, account setup, and documentationPrepare recurring internal reports and assemble information requested by the executive teamLocation and TravelThis is a remote, work-from-home position and we are open to candidates anywhere in the United States. The company is headquartered in Wilmington, North Carolina, and candidates in the Wilmington area are encouraged to apply, as periodic in-person working sessions are valuable in this role. Candidates located elsewhere in the United States should be willing to travel to North Carolina several times per year. Organized, dependable people have succeeded here coming from outside the construction industry.Experience supporting an executive, managing an office, or in a comparable administrative or coordination roleAbility to work independently, manage competing priorities, and meet deadlines without daily supervisionProfessional and confident telephone manner, with good judgment about how to handle and route incoming callsStrong written and verbal communication skills, with attention to detail and solid proofreading abilityDiscretion in handling confidential company, financial, and personnel informationWorking knowledge of Microsoft 365 (Outlook, Teams, SharePoint).
