About the Role:
The Customer Service Representative (CSR) plays a key role in supporting customers and the Sales team. This position provides responsive, professional customer service while supporting sales growth and ensuring accurate, timely processing of customer orders and requests. Working under the direction of the Inside Sales Manager, the CSR serves as an important point of contact for customers and provides comprehensive sales and customer service support. This role requires strong communication skills, attention to detail, accuracy, and the ability to manage multiple priorities in a fast-paced environment.
Note:
This role is not heavy on phone calls it's primarily focused on reviewing orders and updating internal stakeholders and clients via email, with some phone interaction.
Key Responsibilities:
Customer Communication & Correspondence Respond promptly and professionally to customer inquiries received by phone and email. Place outbound calls and send correspondence as needed to address customer requests and provide timely follow-up. Maintain clear, accurate, and professional communication with customers and internal teams. Customer Relations Build and maintain strong customer relationships through responsive, knowledgeable, and professional service. Address customer questions, concerns, and requests with urgency and professionalism. Follow up on customer inquiries that cannot be resolved immediately and ensure appropriate resolution. Document customer complaints and related information accurately in SAP.Follow up on customer inquiries and leads generated through various marketing programs. Maintain a customer-focused approach in all interactions. Quoting, Order Entry & Data Management Prepare new and repeat customer quotes and email them to customers in a timely manner. Enter sales orders accurately and efficiently into SAP.Review customer purchase orders to ensure all information required for accurate sales order entry is provided. Obtain all required documentation from customers prior to completing the order-entry process, including NCNR agreements, proforma invoices, resale certificates, specifications, and other applicable documents. Enter, update, and maintain accurate customer information, correspondence, notes, documentation, and updates within the sales CRM.Review customer requests and make appropriate updates or changes within the system. Process order amendments in SAP accurately and in coordination with the appropriate internal teams. Maintain a high level of accuracy and attention to detail in all SAP data entry. Scan and electronically file required documentation into the appropriate systems. Submit completed documentation to the appropriate departments for continued processing. Ensure customer and order information is complete, accurate, and properly documented throughout the process. Sales Support Provide backup and administrative support to the Sales team as needed. Assist with customer requests and sales-related activities to help support the overall sales process. Collaborate with Sales and other internal departments to ensure a positive customer experience and timely order processing.
General Responsibilities:
Complete other projects and duties as assigned. Learn, understand, follow, and promote all company processes, procedures, and standards. Work collaboratively with team members and other departments to support company and customer needs.
Qualifications:
Minimum of 5 years of customer data experience in Customer Service, Sales, or a related field. Strong verbal and written communication skills. Excellent customer service and relationship-building skills. Strong attention to detail and commitment to accuracy. Extensive experience with Microsoft Office applications. Experience with SAP Business One, including quoting and sales order entry, is a huge plus. Ability to manage multiple priorities, meet deadlines, and work effectively in a team environment. Ability to learn and follow established processes and procedures. Job Type & Location This is a Contract to Hire position based out of Lake Oswego, OR.
Pay and Benefits:
The pay range for this position is $28.85 - $28.85/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
