Title: Administrative AssistantDuration: 2 - 3 Months contract assignmentLocation: Boulder, CO 80309Position: HybridJob Description: We are seeking a reliable and detail-oriented candidate to support the shared services operations of the office. This role will directly support the budget and business strategy, financial service center, and human resources functions. Responsibilities will include ensuring smooth workflow across areas and providing back-up support where required based on workload. This includes performing budget reviews, financial reconciliations, and distributing routine and ad hoc reporting. The position will assist with monitoring expenditures across multiple units and fund types and ensure financial records are maintained and organized. This position will also support the shared services departments with special projects, drafting and managing communications, and prioritizing responsibilities through developing detailed schedules of upcoming tasks. HR-related responsibilities include tracking personnel actions, maintaining records, and coordinating transactional workflows. This position requires strong analytical skills, human resources and personnel management knowledge, and the ability to oversee multiple priorities in a fast-paced environment. The Office of the Provost is the face of the Division of Academic Affairs, as such the work unit is oriented toward providing service that supports the institution s academic role and the mission.Job Duties: Review and triage requests that are received through the shared services email inboxes, assign to appropriate team, and prioritize workload. Organize project schedules, including required meetings, and develop timelines for deliverables. Prepare reports, presentations, and other documents as needed for projects assigned. Perform budget and financial reviews across multiple departments and fund types. Support team members with administrative tasks and project coordination. Draft and develop communications from the shared services operations for both routine and special correspondence. Complete budget and financial related special projects, synthesis large scale information into executive summaries. Create and update internal standard operating procedure documentation for key processes Assist in mapping HR transaction workflows, helping to identify tracking gaps and inefficiencies. Partner with HR and shared services colleagues to review, organize, and streamline personnel files on the shared drive, ensuring consistency, accessibility, and alignment with University recordkeeping standardsRequested Minimum Requirements (Education and Experience)Note: The minimum amount of education and experience required for a position is assigned from the approved job family and job level for the work.
