About the role
Manage multiple communication channels seamlessly, including email, phone, and messaging
Proactively initiate outbound communication with clients, vendors, and other stakeholders starting at 7 AM each day
Review customer/client profiles and stay up-to-date on the top 3 priority profiles
Populate and configure the company's Zoho CRM system on a daily basis
Proofread and properly format documents on day one
Use video editing tools like Capcut for background communication tasks
Resolve all client communications by the end of each business day
Ensure vendor communications and statements are accurate, and follow up on necessary tasks
Strategically review the calendar and inform the executive of important upcoming tasks or bills that need to be paid
Set up auto-pay for bills to minimize manual involvement
Route any sales-related communications to the appropriate sales team
Work Hours:
Expected to work 8 hours per day with a 1-hour lunch break
Required to start at 5 AM to be fully prepared by 7 AM
Other Requirements:
Ability to work independently and proactively
Strong communication and organizational skills
Proficiency in CRM systems, document formatting, and video editing tools
Familiarity with federal contracting and grants
Requirements
Bachelor’s degree or higher; administrative or customer service experience preferred.
Strong proficiency in writing, graphic design, web development, and spreadsheet management.
Excellent verbal and written English communication skills.
Ability to multitask, stay organized, and adapt in a fast-paced environment.
Stable internet and a suitable remote workspace.
