About the role
- Assist clients with service requests, paperwork, account documentation, and general questions.
- Maintain accurate and organized client records and files.
- Prepare materials and documentation for client meetings and reviews.
- Assist with new client onboarding and ongoing client follow-up.
- Maintain internal client, prospective business, and tracking reports.
- Answer phones and provide front desk support as needed.
- Assist with client communications, newsletters, email campaigns, and marketing materials.
- Coordinate with outside marketing partners and vendors to help keep projects and requests moving forward.
- Help coordinate client appreciation, referral, holiday, and special events.
- Manage event invitations, RSVPs, vendors, gifts, and materials.
- Order marketing materials, promotional items, client gifts, and office supplies as needed.
- Provide general administrative and operational support to advisors and the office.
- Strong organizational and time-management skills
- High attention to detail and follow-through
- Professional, personable, creative, and proactive
- Ability to manage multiple priorities independently
- Strong computer and administrative skills
- Experience in client service, administration, or a professional office environment is required
- Financial services experience is a plus, but not required
- Experience with Office 365, Canva, and Constant Contact a plus
- Marketing experience required
- Must travel between Hoffman Estates and Naperville offices
