Front Office Recruiting Coordinator
Location: San Jose, CAWe're looking for a Front Office Recruiting Coordinator to keep our San Jose office running smoothly and help create a great experience for candidates and employees. This role combines hands-on office operations with recruiting coordination, from welcoming visitors to managing interview schedules and helping new hires get settled.
Recruiting Coordination: Schedule phone, video, and onsite interviews across multiple calendars and time zones, partnering with recruiters and hiring managers to keep the process moving. Serve as candidates' point of contact for scheduling and logistics, providing clear instructions, timely updates, and a welcoming interview experience. Coordinate interview agendas, meeting rooms, video links, and candidate travel as needed. Keep candidate records and interview details accurate in our applicant tracking system, follow up on outstanding feedback, and flag scheduling delays or bottlenecks. Generate and distribute offer documents for chosen candidates, verifying compensation precision and prompt delivery. Office Operations & Front DeskManage the front desk, welcome employees and guests, and coordinate visitor check-in and arrival logistics with internal hosts. Keep the office organized and well-stocked, including office supplies, kitchen inventory, the Forkable meal program, and company swag. Coordinate with building management, vendors, and IT on maintenance, repairs, office equipment, and access needs. Handle mail, shipping, and receiving, and support workspace setup and office layout changes as the team grows.
