Accounts Payable Clerk 2The Accounts Payable Clerk 2 is responsible for coordinating accounts payable functions to insure timely and accurate disbursements to vendors. This role will maintain efficient daily processing of invoices in a computerized setting. The Accounts Payable Clerk 2 must successfully work at a high-volume pace while being able to multitask and maintaining a positive attitude in a team environment. The incumbent in this position is expected to model the following practices on a daily basis: Demonstrate alignment with the company's mission and core business values; Collaborate with key internal/external resources; Participate in ongoing self-development.Essential FunctionsModels, promotes, reinforces, and rewards the consistent use of HOLT's Values Based Leadership (VBL) tools, models, and processes to ensure alignment with our Vision, Values, and MissionProcesses and researches vendor invoices according to Company policies on a daily basis for accurate and timely disbursement to vendorsCorresponds with vendors and responds to inquiriesCoordinates with internal and external customers when issues arisePerforms 2 way and 3 way matching Reconciles vendor statements by verifying invoices paid and researching past due invoicesAssists with the annual preparation and filing Federal 1099 reporting including obtaining vendor documentationMonitors and researches outstanding checks, including taking necessary actions to resolve the issue and re-issue checks if necessaryProvides recommendations on process improvements and procedures that improve efficiency and accuracy within the accounts payable functionAssists with the preparation and completion of the annual "Unclaimed Property Report"Sorts and matches supporting documentation to invoicesProvides assistance to customers and less experience team members; responds to financial questions/concernsShares the ability to learn softwareWorks safely at all times and adheres to all applicable safety policies; complies with all company policies, procedures, and standardsRequires regular and punctual employee attendancePerforms other duties as assignedKnowledge, Skills, and AbilitiesStrong accounting knowledge, with understanding of invoices, statements of account, receivables, payables, and various forms of payment remittancesSound knowledge of construction rental equipment industryMust have strong analytical and organization skillsAdvanced Microsoft Office products skills including Excel, Word, PowerPoint, Outlook, etc.Exceptional organizational, planning, self-management, problem solving, time management, and multi-tasking skillsStrong interpersonal and communication skills sufficient to engage with customers, vendors, and peers in order to exchange information, motivate, influence and persuadeStrong research and investigation skillsAbility to reconcile and balance payment transactionsAbility to work in fast paced environment with frequent interruptionsExceptional customer service and relationship building skillsAbility to learn industry specific software, i.e. CODA, DBS, and RentalmanThe ability to listen to and understand information and ideas presented through spoken words and sentencesRequirementsEducation and Experience:Three years of work-related skill, knowledge, or experience requiredHigh school diploma or equivalent required, some college in applicable field preferredSupervisory Responsibilities:NoneTravel:Up to 10%Physical Requirements:This position involves extended periods in a stationary position; additionally, occasional movement inside the office to access office machinery, file cabinets, etc.This role frequently communicates with others, must be able to exchange accurate information in these situations This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines Occasionally moves or transports items weighing up to 30 poundsWork Environment:This job is generally performed in a professional office environment Frequently works at fast pace with unscheduled interruptionsDisclaimer:Please note that the above statements are intended to describe the general nature and level of work being performed by employees assigned to this classification.
