About the role
The Axel Group is seeking a Real Estate Legal Assistant to join our client’s team in Monmouth County, New Jersey. Our client is a well-established, mid-sized law firm with more than 60 years of experience providing sophisticated legal counsel to businesses, organizations, and individuals throughout the region. The firm offers a broad range of practice areas and is particularly well regarded for its work across corporate and business law, real estate and development, land use, construction, and litigation matters. Known for combining the resources and caliber of a larger firm with a collaborative, relationship-driven environment, the organization has built a strong reputation for both the quality of its work and its long-standing client relationships. This position will provide administrative and legal support within the firm’s Real Estate practice. The ideal candidate has prior experience working within a law firm, strong document preparation and organizational skills, and the ability to manage multiple priorities and deadlines while providing a high level of support to attorneys and clients. Prior real estate experience is preferred but not required.
Key Responsibilities:
- Provide day-to-day administrative and legal support to attorneys within the Real Estate practice
- Prepare, revise, format, and proofread legal documents, correspondence, agreements, and closing documents
- Open, maintain, organize, and close electronic and physical client and matter files
- Manage attorney calendars and coordinate client meetings, real estate closings, appointments, and important deadlines
- Communicate with clients, lenders, title companies, real estate agents, opposing counsel, and other parties involved in transactions
- Order, coordinate, and review title commitments, surveys, payoff statements, and other transaction-related documents
- Assist attorneys with residential and commercial real estate transactions from contract through closing and post-closing
- Prepare and organize closing documents, closing binders, and transaction files
- Prepare and electronically file documents as required
- Track deadlines and maintain accurate transaction and matter records
- Assist with new matter intake, time entries, expense reports, invoices, and other administrative documentation
- Answer phones and provide professional, responsive support to clients
- Provide general administrative support and assist with special projects as needed
Qualifications:
- 1+ years of experience working within a law firm environment
- Previous experience supporting a real estate practice required
- Strong organizational and time-management skills with exceptional attention to detail
- Strong document preparation, formatting, and proofreading abilities
- Excellent written and verbal communication skillsAbility to manage multiple assignments, priorities, and deadlines in a fast-paced environment
- Proficiency with Microsoft Office, including Word, Outlook, and Excel
- Professional demeanor with strong client-service and communication skillsAbility to work independently while collaborating effectively with attorneys and other team members
